Job Description: The Executive Assistant (EA) to the CEO provides high-level administrative support to the CEO and serves as a liaison to the Board of Directors. This role involves managing the CEO's schedule, coordinating board meetings, handling confidential information, and ensuring smooth communication between the CEO and the Board.
Key Responsibilities
1. Administrative Support
o Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
o Prepare and edit correspondence, communications, presentations, and other documents.
o Handle incoming and outgoing communications on behalf of the CEO.
2. Board of Directors Liaison
o Coordinate and schedule Board of Directors meetings.
o Prepare and distribute board meeting agendas, minutes, and materials.
o Maintain records of board activities and ensure compliance with governance requirements.
3. Meeting Coordination
o Organize and coordinate executive meetings, including logistics, agendas, and follow-up actions.
o Attend meetings, take minutes, and ensure timely distribution of minutes and action items.
4. Confidentiality and Discretion
o Handle sensitive information with the highest level of confidentiality and discretion.
o Ensure secure storage and management of confidential documents.
5. Project Management
o Assist with special projects and initiatives as directed by the CEO.
o Track progress and ensure timely completion of projects.
6. Communication and Relationship Management
o Act as a point of contact between the CEO, board members, and other stakeholders.
o Foster positive relationships with internal and external stakeholders.
Qualifications
•Education: Bachelor's degree in business administration, communications, or a related field preferred.
•Experience: Minimum of 5 years of experience as an executive assistant, preferably in the banking or financial services industry.
•Skills:
o Excellent organizational and time-management skills.
o Strong written and verbal communication abilities.
o Proficiency in Microsoft Office Suite and other relevant software.
o High level of professionalism and discretion.
