37.5 HOUR WORK WEEK
Well-known regional law firm has a need for an experienced Executive Assistant to assist two key Partners in the firms' Fort Lauderdale office. Attorneys assigned to them in the department on their day-to-day operations of their practice and clients. Additionally, they will assist attorneys through the performance of complex secretarial and clerical duties requiring a knowledge of legal terminology and the legal process.
Key Responsibilities:
• Handle and manage all telephone communications.
• Manage Potential New Client inquiries and direct business development inquiries and reporter requests for interviews according to CARE Standard Operating Procedures.
• Oversee scheduling and calendar management for assigned attorney(s).
• Confirm that all meetings, events, and classes are proceeding as planned, and ensure all logistical details are accurate and up to date.
• Ensure monthly marketing and all reports are accurate.
• Process and manage attorney(s) expense reports in a timely and accurate manner.
• Enter billing time into Aderant for assigned attorney(s), edit the Unbilled Time Report before deadlines and handle billing discrepancies, checks, and client relations tasks as needed.
• Communicate client updates to the appropriate Department Assistants.
• Perform corporate searches via the State and DBPR websites.
• Assist with preparing forms related to Registered Agent status.
• Pre-interview candidates for podcasts, send reminders to guest speakers with copies to the attorney, and pitch podcast ideas.
• Assist with and recruit sponsors for the annual Becker Board Member Boot Camp in collaboration with the Becker Marketing Department.
• Assist with conflict checks and access the paralegal inbox to support attorney inquiries and perform paralegal tasks as needed.
• Coordinate travel arrangements as needed.
• Familiarity with the State of Florida and DBPR websites, as well as experience with Aderant, iManage, and Unbilled Time Report, is desired.
• Excellent administrative and organizational skills.
• Exhibit Computer savvy and expert in word processing, excel, and presentation software.
• Demonstrate the ability to engage seamlessly with C-level professionals, as well as sponsor recruitment for events and collaborate with other teams.
• Strong command of grammar, spelling and punctuation.
• Able to multi-task and interact with various personalities.
REQUIREMENTS:
- Minimum of seven years’ experience and a bachelor’s degree, or a minimum of ten years’ experience, as a legal assistant.
- The ideal candidate will be a team player, and adaptable to changing priorities.
