Thanks for your interest in working on our team! The Marketing Events Specialist will be responsible for the planning, organizing and executing of trade shows, conferences, and self-created customer events in North and Latin America. This role is also responsible for all operational, implementation, and post-event activities.
Duties and Responsibilities Coordinate logistics and deliverables for trade shows including booking both booth and meeting space, registering personnel, managing housing, managing shipment of exhibition assets to and from events. Work closely with internal and external event planning committees and client groups to define event goals, objectives, and specific implementation plans that promote the organizations brand. Work with vendors, e.g. Adtran's booth vendor, show vendors, etc. to ensure timely, cost-effective execution. Negotiate agreements with outside providers and subcontractors to ensure lowest cost and highest quality of service. Assist in creation and delivery of pre- and post-show communications, both internal and external. Source venues, recommend and engage catering, acquire supporting technology, and coordinate development of materials to execute a quality event. Coordinate the shipping and receiving of event booth(s), display units, collateral, and promotional items in highly time-sensitive and deadline driven situations. Travel and support events on-site as needed. Work closely with the global marketing team to execute campaigns for virtual and in-person events. Supervise, direct, and coordinate the activities of subcontractors, and vendors as required to successfully execute all aspects of the event on the scheduled delivery day. Maintain event-related expenses while being budget-conscious and submit invoices for payment in a timely manner. Drive engagement and customer satisfaction by providing consistently great customer experiences at Adtran's events regardless of the type of event. Drive improvement and optimization in overall event management processes and execution according to the overall marketing strategy and marketing departmental goals. Work with creative staff to make sure materials reach publication and are available prior to event. Other projects and assignments may result and be assigned to accommodate the changing needs of the department and the Company.
Qualifications Basic Qualifications Bachelor's Degree in Business Administration, Marketing or a related field is highly preferred. 2-5 years' previous experience in Event Management or a related field is required. Proficiency in Microsoft Office: PowerPoint, Excel, and Word is required. Some travel is expected in this position. Basic knowledge of B2B marketing and marketing communication. Highly organized and able to multi-task under time constraints. Must be able to lift up to 25 pounds and handle equipment weighing up to 60 pounds. Preferred Qualifications (Optional)
Knowledge of CVENT Event Management system preferred.
