Under minimal supervision, provides a wide range of general administrative support to colleagues in the office and/or field. Responsible for scheduling meetings, making travel arrangements, arranging events and other projects as assigned. May provide direction and coaching to less experienced Administrative Assistants or other office staff colleagues. Processes, records, verifies, and pays invoices and expenses for goods and services on a timely basis. Maintains, analyzes, and reconciles accounts payable ledger accounts. Develops, directs, plans, and evaluates accounts payable policies and procedures ensuring external and internal policies are adhered to. Prepares a variety of reports, analyzes data, identifies, and recommends solutions. Assist Project Managers and other colleagues with miscellaneous paperwork and reporting. Communicates with purchasing and shipping department regarding pricing or receiving discrepancies. Acts as back up for other office jobs such as the receptionist. Reviews vendor statements and communicates with vendors regarding payment status. Performs other duties and responsibilities as requested or required. Administers and operates the organization's warehouses, providing administrative support for efficient shipping, receiving, processing, packaging, storing and ordering of tools, supplies, materials and equipment. Responsible for supporting receiving and shipping parts in an efficient manner. Provides project and service support to field colleagues and supports office colleagues as needed. May provide support for fleet and facilities management programs. What You'll Need Strong planning and organizational skills. Excellent written and verbal communication skills.
