  • Estimated hourly base pay: $30.34(minimum) - $37.93(midpoint) - $45.52(maximum)

Are you ready to make your mark? If you're an Executive Administrative Assistant, we have an exciting opportunity for you. Executive level administrative assistant works with some latitude and little to no supervision, performs diverse and complex executive administrative and coordinator assignments to support the Executive Vice President and COO organization.

What You Will Be Doing

  • Advanced executive administrative duties. Prepares/drafts memos, letters, reports and documentation of confidential nature
  • Coordinate and distribute group communication and announcements
  • May open and sort mail, order supplies
  • Maintains complex top executive's calendar(s)
  • Extensive complex travel arrangements. International travel arrangements may be required
  • Perform department functions (filing, copying, org chart maintenance, metrics)
  • Represents and supports top level executives and acts as liaison between the departments this position is supporting, key clients as well as external customers (e.g. investors, local community programs, etc.). May support international customers/key clients
  • Coordinates special meetings and events requiring preparation of meeting materials and logistics (may include global coordination)
  • Provides accurate compilation and reporting of data
  • Recognizes, initiates, and leads improvement activities
  • May assist lower-level administrative assistants concerning proper procedures, methods, and standards
  • May perform department timekeeping
  • May act as back-up for Sr. Executive Administrative Assistant
  • May assist in compilation of board meeting materials
  • May require limited domestic travel

What We Are Looking For

  • US - High School Diploma required. Continued Education, Training or Certifications preferred
  • 5+ years Experience with executive level management required
  • Global cultural understanding and experience preferred
  • Advanced computer skills including complete MS Office Environment (Outlook, Word, Excel, PowerPoint, Visio). Knowledge and ability to use general office equipment, such as copiers, faxes, printers, computers, etc.
  • Demonstrated commitment to quality and professionalism. Ability to identify continuous improvement activities to improve efficiencies of work
  • The ability to perform advanced, diverse and complex tasks gained through experience. Often requiring independent judgment and thinking. The ability to perform all aspects of position while maintaining confidentiality
  • The ability to mentor and provide assistance to lower level administrative assistants,
  • Excellent communication and interpersonal skills. Also, requires demonstrated ability to effectively interact with all levels of the organization
  • The ability to process multiple types of information and/or perform multiple tasks simultaneously with competing priorities. Practices effective time management
  • Maintain excellent concentration, organization and prioritization skills, not only for self but for those supported by this position
  • The ability and willingness to take ownership of work activities and ensure that they are completed accurately, efficiently, and in a timely manner. This also includes being available during non-core working hours in order to meet the needs of those this position supports. Also perform tasks with a high level of integrity
  • The ability to interact cooperatively and collaboratively with others as a team. This includes the innate ability to be flexible
  • The ability to define, diagnose, and resolve problems with a significant organizational impact. Must also have the ability to make decisions in a timely manner, sometimes with incomplete information and under tight deadlines and pressure
  • The ability and willingness to take independent action to complete assignments with little to no instruction. This includes the ability and willingness to recognize assignments that need to be completed, anticipate the needs of those this position supports, seek out additional assignments, and to help others

  • The ability to coordinate complex domestic travel using an online travel management system (international travel may be required)
