Key Responsibilities
- Greet, welcome, and direct visitors appropriately, ensuring a positive first impression.
- Notify company personnel of visitor arrivals and maintain security protocols by issuing visitor badges.
- Manage all incoming calls, directing them to the appropriate personnel or department.
- Ensure the reception and lobby areas are safe, clean, and presentable at all times.
- Assist with various special projects and contribute to team initiatives as needed.
- Coordinate client visits and leadership meetings, handling room bookings, catering, IT requests, and other logistical needs.
- Manage and maintain complex executive calendars, schedule domestic and international meetings, and organize conference calls.
- Handle complex travel arrangements and process expense reports for executives.
- Reconcile purchasing accounts for operating supplies and other related administrative tasks.
Required Qualifications
- Minimum of 5 years of experience in a receptionist, executive assistant, client relations, or customer experience role.
- Previous experience in a large corporate office or manufacturing environment is preferred.
- Strong communication skills with the ability to manage multiple tasks and switch between projects seamlessly.
Preferred Qualifications
- Prior experience supporting senior executives in a corporate setting.
- Familiarity with coordinating executive-level meetings and travel arrangements.
- Experience in maintaining a high standard of customer service in a fast-paced environment.
Education: Bachelors Degree
