Position Summary:
The Administrative Assistant will perform routine clerical and administrative functions such as drafting correspondence, scheduling meetings, organizing, database entry and maintaining paper and electronic files, or providing information to callers.
Job Responsibilities:
Associates Degree in a business related field and/or 3 years of successful employment as a secretary or Administrative Assistant. Excellent and proven customer service skills. Proficient with Microsoft Suite programs including Outlook, Word and Excel. Must have a valid New York State driver's license and access to reliable transportation. Regularly required to sit, stand, walk, bend, climb stairs and lift objects of up to 10lbs as required.
Salary Range: $38,000-$42,000,

Position Summary:
The Administrative Assistant will perform routine clerical and administrative functions such as drafting correspondence, scheduling meetings, organizing, database entry and maintaining paper and electronic files, or providing information to callers.
Job Responsibilities:
- Answer phone calls for the general line and distribute accordingly to the appropriate individual or party.
- Ensure that all members of committees are notified of upcoming meetings with appropriate advance notice. This includes but is not limited to: Board of Directors, Program Advisory Committee, and Fund Development Committee.
- Ensure all consumer enrollment forms are completed and entered into the database with accuracy and are maintained ongoing.
- Provide a welcoming environment to visitors by greeting and assisting them upon entry into the office.
- Provide support to the Inventory Coordinator in facilitating public sales of aids and devices, including assisting customers, processing transactions, maintaining product displays, and ensuring accurate record-keeping
- Order, track, and maintain office supplies to ensure adequate inventory levels, coordinate with vendors for timely deliveries, and address any issues related to supply shortages or quality concerns.
- Manage and maintain the petty cash fund, including tracking disbursements, ensuring accurate documentation and receipts, reconciling balances, and replenishing funds as necessary to support operational needs.
- Prepare, personalize, and send thank-you letters or acknowledgments to donors, consumers, or stakeholders in a timely and professional manner, ensuring accuracy and alignment with organizational standards.
- Assist with additional administrative tasks and responsibilities as needed to support the team or organization.
- Answer all incoming phone and TTY calls. Direct calls to appropriate staff person or take message
- Respond to inquiries about agency's functions/services.
- Signs guests/consumers in and out.
