Job Description
Hire Connections is in search of a Operations Coordinator (Central Operations Coordinator)/Executive Assistant to join the team of our faith-based, non-profit client! This individual will be responsible for supporting the Senior VP of Central Services in all administrative, operational, and executive tasks to ensure a smooth operation across the department. The role will involve high-level coordination, scheduling and managing calendar, event management, and the facilitation of day-to-day tasks.
Major Areas of Responsibility:
- Managing the calendar and email correspondence with a timely and professional manner on the behalf of the VP
- Assist with organizing meetings (time, location, and relevant logistics), and providing weekly summary reports of upcoming meetings and priorities
- Prepare and organize meeting briefs, agendas, and ensure a timely follow-up on any action items
- Manage and prepare the Senior VP’s expense reports, ensuring accuracy and submit in a timely manner
- Assist with event preparation – including room setup, invitations, and day-of logistics coordination
- Oversee and coordinate logistics of departmental meetings, events, and program activities ensuring everything is prepared and functional for all events and meetings.
- Managing and updating departmental project timelines and program calendars, ensuring a smooth process of key initiatives
- Tracking and inputting departmental data to ensure a smooth decision-making process through accurate reporting
- Assist the Senior VP with Streamlining and improving internal processes to continue a smooth and effective process across the department
- Plan and coordinate logistics for internal and external events including: meetings, training sessions, and retreats
Qualifications:
- Bachelor’s degree in business administration, Communications, or related field preferred
- 2-4 years of experience in administrative support, operations, or a combination of both
- Experience working directly with executive-level staff is a plus!
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Ability to manage multiple projects simultaneously and meet tight deadlines
- Proficiency in Google Suite (G Suite) and data management platforms such as Salesforce
- Ability to handle sensitive and confidential information with discretion
- Must provide a working laptop (PC preferred) and smartphone
- Ability to work independently and in a team environment
Hours, Compensation, and Benefits:
Hours: 40 hours/week
Schedule: Monday- Friday, 8 am- 5 pm; occasional other hours as scheduled by your supervisor for events.
Salary/Wage: $59,000k – $70,800k Annually
Performance Bonus: Up to 5% of salary
Vacation: 15 days per year, plus office closure from Christmas Day to New Year’s Day with limited staff duties.
Sick Days: 6 days per year
