Position Overview: Jean Kristensen Associates, LLC (JKA) is seeking a detail-oriented and highly organized Executive Assistant to support our leadership team across various business areas, including management consulting, real estate, construction-related services, and security and facility management. The ideal candidate will be a proactive problem-solver with exceptional communication skills and the ability to handle a variety of routine administrative tasks with professionalism and efficiency.

Key Responsibilities:
Administrative Support
  • Manage the daily schedule of the leadership team, including coordinating meetings, appointments, and travel arrangements.
  • Draft and manage correspondence, emails, and other communications on behalf of leadership.
  • Maintain and organize digital and physical filing systems to ensure easy access to critical documents.
  • Monitor and respond to inquiries through company email accounts and communication platforms.
Operations and Coordination
  • Support JKA’s ongoing projects by tracking deadlines, deliverables, and milestones.
  • Coordinate with team members across departments to ensure seamless operations.
  • Prepare materials for meetings, including agendas, presentations, and follow-up notes.
  • Collaborate with external partners and clients as needed to maintain strong relationships.
Marketing and Communications
  • Manage and schedule content for marketing platforms, including Salesforce, Constant Contact, and LinkedIn.
  • Assist with creating and distributing newsletters, promotional materials, and client updates.
  • Provide administrative support for workshops, webinars, and other events, including registration and logistics.
Financial and Compliance Support
  • Track and organize expenses, invoices, and payments in collaboration with the finance team.
  • Assist with compliance-related documentation and reporting, ensuring all submissions are accurate and timely.
Research and Reporting
  • Conduct research on industry trends, potential clients, and strategic initiatives to support decision-making.
  • Assist in preparing reports, presentations, and data analysis for client meetings and internal reviews.
Additional duties as assigned.

Skills and Qualifications:
  • Experience: 3+ years of experience as an Executive Assistant or in a similar administrative role. Experience in a professional services, consulting, or real estate environment is preferred.
  • Technical Proficiency: Familiarity with Microsoft Office Suite, Salesforce, Constant Contact, Calendly, and other marketing and productivity tools.
  • Attention to Detail: Exceptional organizational skills and a strong ability to manage multiple tasks and projects with precision.
  • Communication Skills: Strong written and verbal communication skills to interact effectively with team members, clients, and partners.
  • Problem-Solving: Proactive mindset with the ability to anticipate needs and solve problems independently.
  • Project Management Skills: Proven ability to juggle multiple priorities and meet deadlines without breaking a sweat.
  • Confidentiality: Ability to handle sensitive and confidential information with the utmost discretion.
Additional Requirements:
  • Bachelor’s degree or equivalent experience preferred.
  • Availability to work both in-person and remotely as needed, with occasional travel to JKA offices or events.
