SUMMARY

The Executive Assistant (EA) to the President provides critical administrative and operational support to ensure the President's efficiency and effectiveness in leading the organization. This role involves managing the President's schedule, facilitating communication with internal and external stakeholders, and supporting the execution of key business initiatives. The EA serves as a trusted partner, handling both routine and complex tasks while maintaining a high level of confidentiality and professionalism. This position requires strong organizational skills, adaptability, and the ability to prioritize tasks effectively. The EA will collaborate frequently with team members across the organization to ensure seamless execution of daily operations and long-term goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative Support
  • Manage the President's hybrid work schedule, including arranging meetings, appointments, and travel.
  • Oversee email and correspondence, prioritizing responses and flagging critical issues.
  • Prepare agendas, meeting minutes, and follow-up materials.
Project & Workflow Management
  • Support business initiatives by drafting presentations, tracking deadlines, and coordinating team collaboration.
  • Independently manage non-critical decisions and delegate tasks as needed.
  • Maintain efficiency in cross-departmental communications.
Event Coordination
  • Assist in planning company meetings, training events, and charity programs.
  • Ensure logistics and scheduling for internal and external events run smoothly.
Communication & Documentation
  • Draft professional emails, memos, and newsletters.
  • Maintain confidentiality and professionalism in all communications.
  • Proactively improve documentation and processes for better workflow.
Tools & Systems
  • Utilize Microsoft Office Suite for reporting, task management, and presentations.
  • Collaborate frequently with teams across the organization, ensuring alignment and efficiency.
QUALIFICATIONS
  • Proven experience as an Executive Assistant or in a similar role supporting senior executives.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Strong organizational skills and the ability to prioritize multiple tasks.
  • Excellent communication and problem-solving skills.
  • Ability to collaborate with diverse teams and maintain a positive work environment.
  • Discretion in handling confidential information.
