What You'll Get To Do:
This position provides comprehensive administrative support to the VP of PNA Supply Chain and the Supply Chain Leadership Team, assisting with a broad range of tasks including team engagement initiatives, professional development, event and meeting coordination, business presentation creation, and other executive-level needs. As a highly visible and integral role within the department, this position offers excellent opportunity for a motivated candidate to enhance executive communication skills and develop expertise in creating detailed-oriented deliverables. The successful candidate will be entrusted with sensitive information and must demonstrate the highest levels of confidentiality, professionalism, and courtesy in all interactions.
Administrative Business Support
* Facilitate seamless day-to-day operations and offer comprehensive administrative support to VP Supply Chain and Leadership Team to ensure priorities are effectively managed.
* Manage domestic & international travel arrangements for VP Supply Chain to include the creation of travel agendas.
* Create and manage expense reports for VP Supply Chain and Directors
* Assist Team with travel arrangements for onsite Newark Workshops.
* Manage executive's calendar, emails, and ad hoc projects.
* Coordinate Supply Chain QBR Meetings with PEXNA and BU Executives on a quarterly basis.
* Serve as point-of-contact between VP Supply Chain and various stakeholders around the globe.
* Order internal office supplies for Supply Chain, Logistics and Procurement.
* Maintain Org Charts, files, and Supply Chain Contact lists.
* Assist in preparing the monthly TEAM Meeting slides for executive.
Leadership and Team Engagement
* Serve as Lead Chairperson for the Supply Chain Engagement Committee, driving the development and implementation of innovative activities to enhance overall team engagement.
* Work with the team to develop initiatives that increase employee satisfaction and foster a positive, collaborative, and inclusive team culture.
Supply Chain New Hire Onboarding
* Manage and oversee the Supply Chain new hire onboarding process, ensuring a smooth, welcoming, and engaging experience for all incoming new team members.
* Provide ongoing support to new hires during their initial weeks, addressing any questions or concerns and helping them integrate fully to the team.
* Distribute Panasonic "Welcome Swag" to new team members which consist of welcome letter from VP, of Supply Chain, backpack, writing pad, pens, and a tumbler.
* Provide Concur & Ariba training on first expense submission and procurement office supply orders.
* Order home office equipment, supplies, and business cards.
Leadership and Meeting Support
* Lead weekly Jumpstart and Executive Leadership meetings in the absence of my VP, ensuring that meetings are productive, action-oriented, and aligned with organizational priorities.
* Act as a key point of contact between the Supply Chain Leadership Team and other departments, facilitating clear and effective communication across the organization.
Project and Event Management
* Lead the planning, coordination, and execution of team events, initiatives, and activities to include the bi-annual, two-day TEAM Workshops and Executive Leadership Offsite Training in Newark.
* Oversee critical projects by tracking milestones, deadlines, and deliverables to ensure timely completion.
* Coordinate special projects related to department and company goals as assigned.
* Manage, oversee, and distribute annual Holiday Cards - custom printing and distribution to Supply Chain team and external vendors.
Cross-Functional Collaboration
* Work collaboratively with cross-functional teams, peers, and the Executive Leadership team to support the effective delivery of projects and initiatives.
* Build strong relationships with internal and external stakeholders to ensure seamless coordination and execution of business operations.
Scope
* Reports to the Vice President, PNA Supply Chain Logistics and Procurement.
* Does not have direct reports.
Qualifications
What You'll Bring:
Education and Experience
* Minimum of 5 years' experience as an executive assistant/executive support experience required.
* Strong organizational, time-management and problem-solving skills.
* Knowledge of Procurement and Logistics preferred.
* Experience leading or managing team initiatives/engagement activities is a plus.
* High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and presentation skills preferred.
* Ability to maintain confidentiality and handle sensitive information with discretion.
* Demonstrate ability to manage multiple projects and priorities simultaneously in a fast-paced environment.

The wage range of?$85,000 - $95,000 is just one component of Panasonic's total package. Actual compensation varies depending on the individual's knowledge, skills, experience, and location. This role may be eligible for discretionary bonuses and incentives. *The minimum hourly wage for this role will be the greater of the posted range, or minimum wage for the location where the employee will be working, subject to local minimum wage requirements.
