Description

The Senior Executive Assistant plays a critical role in supporting the leadership team and advancing organizational priorities by seamlessly combining executive-level administrative support with project coordination responsibilities. As a key member of the leadership team, this position is pivotal in driving operational efficiency, ensuring alignment across strategic initiatives, and maintaining high standards of professionalism and confidentiality.

Key Responsibilities:
Executive Support
  • Calendar Management:
    • Coordinate and maintain complex schedules, ensuring time is allocated in alignment with priorities.
    • Anticipate scheduling conflicts and proactively resolve them.
  • Meeting and Event Coordination:
    • Plan and prepare agendas for leadership meetings, capturing detailed notes and action items.
    • Organize off-site meetings, retreats, and team-building activities.
  • Communications Management:
    • Serve as a gatekeeper for internal and external communications, managing email correspondence, calls, and inquiries.
    • Draft, review, and edit communications, reports, and presentations as needed.
  • Travel and Expense Management:
    • Arrange comprehensive travel itineraries, ensuring seamless execution of logistics.
    • Manage expense reporting and reconciliation with accuracy and timeliness.
  • Relationship Management:
    • Act as a point of contact for stakeholders, maintaining strong relationships and ensuring effective communication on behalf of executives.
  • Confidentiality:
    • Handle sensitive and confidential information with the utmost discretion and professionalism.
Project Coordination
  • Strategic Initiative Support:
    • Collaborate with leadership to define project goals, deliverables, and timelines.
    • Track progress against milestones, identifying and mitigating risks proactively.
  • Cross-Functional Collaboration:
    • Coordinate between departments and external partners to ensure project alignment and smooth execution.
  • Project Reporting:
    • Develop and maintain detailed project plans, status reports, and dashboards for leadership review.
  • Process Improvement:
    • Identify opportunities to optimize workflows and improve operational efficiency across projects and executive processes.

Requirements

Qualifications:
  • Bachelor's degree in Business Administration, Project Management, or a related field preferred.
  • Minimum of 5 years in a senior administrative or project coordination role, with experience supporting C-suite or senior leadership.
  • Proficiency in productivity tools (e.g., Microsoft Office Suite, Google Workspace) and project management software (e.g., Asana, Trello, Smartsheet).
  • Experience managing complex projects or organizational initiatives is a plus.
