ARA Diagnostic Imaging is seeking an experienced Senior Executive Assistant to join our growing team!


*Must be a local candidate.


Summary:


Performs a wide variety of complex administrative functions that require individual judgment utilizing knowledge of company-wide departmental policies and procedures. Investigates and resolves administrative in areas to include business management, quality, performance improvement, procurement, and public relations. Works in support of executive management.


Essential Functions:


+ Serves as a Senior Executive Assistant for the CEO and COO to include scheduling and maintaining appointments, meetings and travel itineraries, and coordinates related arrangements.


+ Provides support to the President, Executive Leadership Team and the Executive Committee officers.


+ Screens executives mail, e-mail, voice mail and appointments using own judgment and knowledge; routes people and mail to the executive's executive-level subordinates for handling. Prioritizes and resolves inquiries.


+ Receives and initiates outside contacts on behalf of administration with executives and boards members of other companies, regulators, elected representatives, charitable boards, and customers.


+ Attends all executive committee and board of directors meetings.


+ Participates in executive leadership follow-up meetings and is responsible for ensuring all action plans are arranged and executed.


+ Requests and receives agenda items and completes meeting minutes.


+ Distributing agenda and meeting minutes to board members.


+ Serves as a liaison and channel of communication between the board, committees, leaders, and administrative staff.


+ Handles sensitive, confidential information regarding company operations, performance, or value and prevents it from being shared beyond its intended audience.


+ Analyzes data trends and advises executives of significant changes or discrepancies.


+ Plans, organizes and coordinates the administrative aspects of the Executive's office functions.


+ Serves on interdepartmental committees to assist in planning and facilitating Town Hall Meetings and Leadership Team Meetings.


+ Independently prepares complex documentation, reports, charts, graphs, databases and spreadsheets. Develops advanced presentation materials.


+ Researches Administration budget variance and follows up to resolve issues. Provides input in determining the annual Administration budget.


+ Explains policies and procedures to other parties based on knowledge of the company and department guidelines.


+ Collects, compiles and analyzes moderately complex data and information.


+ Coordinates and completes significant special projects independently or in cooperation with other groups.


+ Performs other related duties incidental to the work described herein.


Education/Experience :


Bachelors degree preferred . Five plus years of executive administrative experience required.


Skills/Knowledge :


+ In-depth knowledge of department policies, procedures, and goals as well as administrative support in completing complex tasks


+ Demonstrates the understanding of leadership approaches such as work scheduling, prioritizing and coaching


+ Demonstrates the ability to gain the confidence and cooperation of peers


+ Demonstrates appropriate customer service attitudes and services in a variety of work settings


+ Ability to act independently upon information and make decisions that achieve optimal results


+ Highly motivated with great organizational skills


+ Demonstrates appropriate customer service attitudes and services in a variety of work settings


+ Proficient in word processing, spreadsheets, Internet and presentation software


+ Demonstrates a results orientation for delivering appropriate products and services in an accurate, complete and timely fashion


+ Must be skilled in written and verbal communications, requiring the ability to read and write effectively and efficiently


Working conditions:


May be exposed to negligible electromagnetic radiation. Must have the ability to lift up to 40 lbs.
