In this role, you will be a member of our diverse Group Services team, which houses Human Resources, Accounting/Finance, Marketing, Business Development, Information Technology, and Administration. We currently have an opportunity for a Senior Executive Assistant based in our New York City office. In this role, the selected individual will provide high-level support to our key Executive team. Responsibilities:
  • Calendar Management: Coordinate and manage the executive's schedule, including arranging meetings, appointments, and travel itineraries. Prioritize conflicting demands and proactively resolve scheduling conflicts.
  • Communication Liaison: Serve as the primary point of contact for internal and external communications on behalf of the executive. Screen, prioritize, and respond to emails, phone calls, and inquiries with professionalism and discretion.
  • Information Management: Organize and maintain sensitive and confidential information, documents, and files. Ensure easy access to relevant materials and data when needed, and maintain accuracy and completeness of records.
  • Meeting Support: Prepare agendas, presentations, and materials for meetings, conferences, and events. Attend meetings as required, take minutes, and follow up on action items and decisions.
  • Travel Coordination: Arrange complex travel logistics, including flights, accommodations, and transportation. Anticipate travel needs, handle last-minute changes, and provide detailed itineraries and instructions.
  • Task Prioritization: Manage incoming tasks, requests, and projects, prioritizing them based on urgency and importance. Coordinate with other team members to ensure timely completion of tasks and projects.
  • Relationship Management: Build and maintain positive working relationships with internal and external stakeholders, including clients, partners, and colleagues. Represent the executive professionally and courteously in all interactions.
  • Expense Management: Track, review, and reconcile expense reports, ensuring adherence to company policies and guidelines. Process invoices, payments, and reimbursements accurately and in a timely manner.
  • Strategic Support: Provide administrative support for strategic initiatives, special projects, and ad hoc assignments as needed. Conduct research, gather data, and prepare reports to support decision-making processes.
  • Event Planning: Coordinate and plan summer and holiday parties, collaborating with other administrative assistants to ensure seamless execution. Organize engaging and enjoyable events that foster team camaraderie and boost morale, from selecting venues and catering to arranging entertainment and activities.
  • Cultural Ambassadorship: Act as a cultural ambassador, embodying the organization's values and promoting a positive work culture. Lead by example in fostering a collaborative, respectful, and inclusive environment.
  • Confidentiality & Discretion: Handle confidential and sensitive information with the utmost discretion and integrity. Maintain a high level of professionalism and confidentiality in all interactions and communications.
  • Problem Solving: Anticipate challenges and proactively identify solutions to address them. Exercise sound judgment and discretion in resolving issues and making decisions on behalf of the executive.
  • Continuous Improvement: Stay updated on industry trends, best practices, and tools related to executive assistance and administrative support. Seek opportunities for professional development and contribute to process improvements within the organization.


Qualifications:
  • Bachelors degree or equivalent work experience providing high-level support to C-Suite Executives or Senior Management Leaders.
  • Minimum of 5 years' of experience as a Senior Executive Assistant or supporting the C-Suite in a mid-size and fast-paced organization.
  • Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong communication skills, both written and verbal, with a high level of professionalism.
  • Possess the ability to effectively "manage up," anticipating the needs and preferences of the executive and proactively providing support and solutions.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to handle sensitive and confidential information with integrity and discretion.
  • Adaptability and flexibility to accommodate changing priorities and work demands.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently with minimal supervision and as part of a team.
  • Positive attitude, proactive mindset, and willingness to take on new challenges.
