Executive Administrative Assistant to the Dean is charged with establishing and
sustaining efficient coordination and operation of the Dean's affairs. Supports administrative needs of the Dean's Office; acts as the right hand of the Dean.
* Screens calls; maintains the Dean's calendar, ensuring that deadlines and events are maintained and chronicled; creates meeting agendas; takes notes, etc.
* Acts as a liaison between the Dean and Associate/Assistant Deans, department chairs, directors, faculty, staff, and students.
* Supports the Dean in meetings and on committees.
* Interfaces as the liaison for the School's Board of Advisors.
* Prepares sensitive and confidential correspondence, reports and minutes; composes routine correspondence for the Dean's signature.
* Communicates information and responses to internal and external constituents.
* Acts as an integral connection between the Dean's office and faculty and staff.
* Maintains confidential files.
* Arranges meetings.
* Manages all aspects of the Dean's travel, including booking, itineraries, and expense reports.
* Organizes receptions and special events.
* Greets guests to the Dean's Office and provides hospitality.
* Monitors budgets; prepares expense reports; reconciles the Dean's credit card; creates periodic analyses, projections, and reports.
* Performs related duties as required.
Minimum Education and/or Work Experience
Must have completed college and at least five years of related experience. Experience in higher education strongly preferred. Excellent communication and organizational skills are required.
Qualifications
Strong interpersonal, organizational, reasoning, and problem solving skills; ability to interact with and foster good relationships with internal and external customers; excellent verbal and written communication skills are essential. Ability to maintain confidentiality . Ability to maintain accurate and detailed records. Must have attention to detail and the ability to handle multiple projects under pressure.
