Position: Guidance Secretary (Grade IV)
Work Schedule: Monday - Friday, 8 hours/day, 10 month
Start Date: ASAP
Pay: Starting pay is $19.25 - $21.89 per hour dependent on qualifications

Required Qualifications:
  • High school diploma or equivalent
  • Minimum of two years of relevant clerical experience
  • Strong communication (written and oral) and interpersonal skills
  • Strong computer skills including word processing, database, and spreadsheet programs
  • Skilled in organizing, prioritizing tasks, multi-tasking, and record-keeping
  • Self-motivated with the ability to function with minimal supervision
  • Ability to maintain confidentiality

Responsibilities:
  • Provide customer service to administration, staff, parents, and students. This includes responding to telephone, fax, mail, and email requests promptly and accurately.
  • Draft and send email correspondence to parents/guardians daily
  • Maintain student data in the District's student information system
  • Register incoming students and withdraw students as needed
  • Schedule counselor, student, parent, and college recruiter appointments
  • Maintain budgetary records for the Guidance Office
  • Process and maintain student schedules including new schedules and schedule revisions
  • Assist with the student testing process
  • Assist students in obtaining college, scholarship, career, and NCAA information and resources
  • Manage attendance and tardy calling systems
  • Record attendance flags in the District's student information system
  • Report/record behavior referrals and suspensions
  • File doctor notes related to student attendance
  • Respond to parent requests for homework when students are absent
  • Coordinate incoming and outgoing transcripts
  • Organize outside resources such as counselors, case workers, etc. coming into the building to work with students
  • Assist with Targeted Services-related paperwork
  • Sort and distribute department mail
  • Other related duties as assigned
