- Hours per Week: 40
- Schedule: Monday-Friday (Hybrid model: Monday, Wednesday, and Thursday in-office; Tuesday and Friday remote after training).
Key Responsibilities:
- Schedule interviews, coordinating between multiple interviewers for positions ranging from entry-level to senior roles. This includes reserving conference rooms, setting up video calls, arranging travel, processing expense reimbursements, and managing itineraries.
- Handle pre-employment screening, ensuring accurate case submissions and timely follow-ups with candidates, recruiters, and business partners.
- Confirm candidate start dates, initiate onboarding processes, and ensure smooth transitions to the Human Resources Shared Services team for new hire support.
- Assist with formatting and posting job descriptions in the recruiting tool.
- Support recruiters with the offer letter creation process, ensuring quality control.
- Provide assistance with actions in the Oracle Recruiting Cloud (ATS), including offer acceptance and issue escalation as necessary.
- Offer exceptional customer service by solving problems and providing timely support to candidates, recruiters, hiring managers, and business partners during interview scheduling and other recruitment-related tasks.
- Adhere to risk management guidelines, ensuring actions align with company policies and regulatory obligations.
- Assist with administrative or business line-specific tasks to support the recruiting process.
- Perform daily administrative tasks related to recruiting.
- Participate in process improvement projects, contributing ideas to optimize workflows and address challenges.
- 3-5 years of administrative or relevant work experience.
- 2 years of customer service experience.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Strong attention to detail, with the ability to prioritize tasks and ensure timely, accurate completion of work.
- Excellent follow-up, interpersonal, and problem-solving skills.
- Ability to work flexibly both independently and within a team environment.
- Familiarity with Oracle Recruiting Cloud or similar Applicant Tracking Systems (ATS).
- Experience scheduling interviews.
- High School Diploma or equivalent (required).
- Associate's or Bachelor's degree (preferred).
