Under the supervision of the Founder/Owner, the Executive Administrative Assistant is responsible for assisting and overseeing all administrative duties of the Founder/Owner.
JOB-SPECIFIC RESPONSIBILITIES:
1. Demonstrates ability to work with all team members effectively.
2. Manage professional and personal scheduling, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
3. Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
4. Manage, coordinate, and arrange senior executives' travel and travel-related activities, including hotel booking, transportation, and meal coordination
5. Perform administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contact database
6. Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
7. Organize team communications and plan events, both internally and offsite, when needed
8. Assembles and prepares handouts, binders, and other preparations necessary for Presentations / Meetings when needed.
9. Coordinates on and offsite board meetings for CEO/Board President.
10. Tracks and maintains current documents pertaining to CEO memberships, certificates, and license renewals.
11. Ensures delivery, proper correspondence, and disclosure of patient-related information via mail, email, or fax.
12. Balances private practice bank statements and makes bank deposits.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
EDUCATION:
•High School Diploma or GED Equivalent
EXPERIENCE:
•Must be proficient in Microsoft Office.
•Superb written and verbal communication skills
•Strong time-management skills and the ability to organize and coordinate multiple projects at once
•Proficiency in Microsoft Office and other office productivity tools, with the aptitude to learn new software and systems
•Ability to keep company confidence
•Experience overseeing budgets and expenses
•Experience developing internal processes and filing systems
