This position provides administrative support performing complex, varied office tasks requiring the operation of technical office equipment. Responsibilities require using independent judgment, initiative, and discretion to make decisions on various matters in accordance with departmental policies and procedures including mail processing and research. Necessary skills consist of effective communication, attention to detail, accuracy, organization, and prioritization. This position requires adaptability due to the cross-functional aspects of the job. REPRESENTATIVE TASKS : R etrieve, sort, prepare, and distribute reports and notices by 10:00 am, and prepare outgoing mail for pick up by 1:30 pm. Requires the ability to lift up to 25 lbs. Sort, slice, and prepare incoming mail. Accurately extract mail and batch tax documents, correspondence, and checks for scanning. Organize, distribute, and monitor incoming mail to ensure that daily processing goals are met. Correct distorted or missing barcodes on documents that cannot be processed. Operate high-speed scanning equipment, identifying, reporting, and correcting errors. Research and process monies received that require manual allocation or are received without required supporting documentation. Accurately key data for various tax returns and other documents in assigned queues. C ollect and process cash received in-office. Sort and batch Incoming Priority Mail the same day it is received - by 11:00 am for morning deliveries; 3:00 pm for afternoon deliveries. Process and verify outgoing Certified Mail within the Service Level Agreement (SLA). Research and process returned Certified Mail within the SLA. Research and process returned First Class mail within SLA. Research and process General Correspondence Cases within the SLA. Assist with purging and shredding of processed documents as directed Assist in cross-training state and contract staff in proper OPC procedures. Maintain and accurately record daily individual and assigned task related statistics by 4:30 PM daily. MINIMUM QUALIFICATIONS Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
