ABOUT THIS POSITION: The Department of Family Services (DFS) Adult and Aging Division welcomes applicants interested in the Administrative Assistant III position. This position: Provides complex administrative support to the Annandale Unit-Adult Services, Adult Protective Services, and Adult and Aging programs; Independently supports the critical administrative functions of the Medicaid-funded Long-Term Services and Supports (LTSS) processes; Documents and tracks CCC Plus, nursing facility, PACE and assisted living facility screenings for the division; Maintains frequent contact with the Health Department and PAES LTC Medicaid program staff to process assessments; Creates spreadsheets for data collection and tracking; Composes professional correspondence and reports; Enters data into multiple county and state systems; Files electronic and paper-based documents, maintains closed record logs and sends closed records to the record center; Performs general office duties such as copying, faxing, printing, and hand delivering items within the building; Processes and distributes incoming and outgoing mail and delivers and obtain records and forms; Manages car maintenance to include driving the cars, documentation of the car mileage, coordinating car maintenance and repairs and issues, and other duties as assigned; Manages and responds to copy/ fax/ scan machine maintenance and orders/maintain ink supply; Schedules meetings and events as needed and may take minutes; also serves as the point of contact to approve/confirm room reservations for specific DFS rooms; Assigns new cases to specialists in state and local electronic systems; Works as a liaison with volunteers who assist with various office duties and provides training to new and ongoing administrative staff working in Adult Services; Works independently in all task and with little supervision; and Other duties as assigned. Note: The assigned functional areas for this position include general administration, documentation and data management, communication and outreach, and/or county vehicle tracking. Employment Standards MINIMUM QUALIFICATIONS: Any combination of education, experience, and training equivalent to the following: (Click on the aforementioned link to learn how Fairfax County interprets equivalencies for "Any combination, experience, and training equivalent to") Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s). CERTIFICATES AND LICENSES REQUIRED: Valid driver's license. NECESSARY SPECIAL REQUIREMENTS: The appointee to this position will be required to complete a criminal background check, driving record check, and child protective services to the satisfaction of the employer. This position is considered essential personnel and will be required to report to work during times designated countywide as approved for unscheduled leave regardless of the emergency situation (i.e., weather, transportation, other disaster). PREFERRED QUALIFICATIONS: Some college experience with at least two years of experience in an administrative capacity. Excellent administrative, computer, oral and written communication skills. Must possess excellent organizational skills and the ability to multitask. Must work effectively with the public and other agency and county staff. Ability to work with challenging persons and represent the county in a positive manner. PHYSICAL REQUIREMENTS: Ability to input, access, and retrieve information from a computer. Ability to lift up to 25 lbs. Ability to perform repetitive hand, arm, wrist and shoulder movements. Work requires pushing, pulling, lifting, bending, stooping, walking, and climbing in and out of catch basins and manholes. Ability to communicate clearly and concisely, both orally and in writing Ability to operate keyboard driven equipment and computer Ability to operate motor vehicle in order to travel to various locations throughout Fairfax County to provide coverage, attend meetings and trainings Ability to use automated technology and keyboard driven equipment. Job requires walking, standing, sitting (for long periods of time), kneeling, reaching, bending, climbing stairs; uses hands to grasp, handle, or feel Visual acuity is required to input, access and retrieve information from a computer.
