We are dedicated to providing high-quality craftsmanship while fostering a supportive workplace. As we continue to grow, we are looking for a dedicated Bilingual Receptionist & Office Assistant to join our team at our Design Center in Conroe on the S 336 Loop.

Position Overview:
This full-time role is a blend of receptionist, assistant, permit specialist, and marketing responsibilities. The ideal candidate will be people-oriented, organized, and able to juggle a dynamic workload. You will represent our company at the front desk, handle office operations, and assist with permitting, marketing, events, and customer support.

Responsibilities:

  • Customer Interaction:
    • Greet customers and visitors promptly, professionally, and warmly.
    • Answer incoming calls, addressing inquiries in both English and Spanish.
    • Maintain a presentable and professional demeanor as the face of our company.
  • Office Management:
    • Keep the office clean, organized, and stocked with necessary supplies.
    • Coordinate cleaning staff schedules and any maintenance.
    • Assist with managing calendars/meetings for managers and employees.
  • Permitting & Documentation:
    • Handle all permitting needs for production jobs, including preparing, submitting, and following up on permits (many are submitted online or handled via email/mail, however some do require physical drop off and pick up).
    • Update permits in client dashboards and maintain accurate records.
  • Customer Support & Data Management:
    • Assist with scheduling site evaluations and preparing change orders in client software.
    • Update and maintain client information in the CRM, as needed.
  • Event Planning & Execution:
    • Assist with planning, scheduling, and executing company events.
    • Coordinate décor and logistics for activities such as meet-the-builder events or holiday gatherings.
    • Represent the company at sponsored or community events.
  • Marketing Support:
    • Edit and send out marketing materials.
    • Manage the inventory of marketing collateral, ensuring materials are current and well-stocked.
    • Ensure that the sales office and design center consistently meet or exceed company presentation standards.
    • Coordinate with vendors, designers, and contractors to maintain and update physical marketing assets, including signage, sales office displays, and merchandising.
    • Partner with the corporate marketing department to identify and address community-specific needs and opportunities as requested by the Marketing Director.
    • Act as a liaison between corporate marketing initiatives and the local sales team’s needs.
  • General Administrative Support:
    • Provide support to managers and employees.
    • Collaborate on creative problem-solving to improve operations.

Qualifications:

  • High school diploma or equivalent.
  • Fluent in English and Spanish (written and verbal).
  • Proficiency in Microsoft Word, Excel, and email platforms.
  • Ability to learn and adapt to customer software systems.
  • Highly organized, efficient, and able to manage time effectively.
  • Excellent communication skills, both on the phone and in person.
  • A positive, lighthearted attitude with a mature and confident demeanor.
  • Reliable transportation, valid driver’s license, and ability to travel locally during the day.
  • Self-motivated with a go-getter attitude and creative problem-solving skills.
