As the Senior Executive Assistant to the CEO, you will play a pivotal role in supporting the CEO, ensuring smooth operations, and maintaining the highest level of confidentiality and loyalty with sensitive information. In addition to assisting the leadership team, you will encompass various office management responsibilities to optimize efficiency and organization within the workplace.
JOB RESPONSIBILITIES
- Serve as the primary point of contact for the CEO, managing communication and correspondence, and prioritizing tasks to conserve their time effectively
- Coordinate and maintain the CEO's appointment schedule, including planning and scheduling meetings, conferences, teleconferences, and travel arrangements
- Safeguard sensitive information and maintain confidentiality within the leadership team
- Develop and create presentations or meeting agendas for team and staff meetings, internal webinars, and other corporate events by gathering data, consolidating content, and revising as needed for the final product
- Assist in organizing and facilitating Monthly/Quarterly all-hands meetings and leadership on-sites, ensuring all necessary arrangements are made and facilitating smooth proceedings
- Assist with booking travel arrangements for the CEO
- Prepare payment requests and organize monthly expense reports for the CEO, assisting with managing housekeeping issues and communications necessary to staff
- Transcribe meeting minutes when requested, maintaining the highest level of confidentiality regarding the content discussed
- Oversee and maintain files and records, ensuring organization and accessibility
- Minimum of 10 years of executive administrative experience
- 5+ years of experience supporting C-level executives
- Bachelor's Degree preferred, Associate's Degree acceptable
- Strong expertise in navigating various computer applications and systems
- Highly proficient in using Microsoft Office suite to include Word, Excel, PowerPoint, Teams, and Outlook
- Experience with calendar management and scheduling coordination
- Experience creating executive-level presentations, agendas, reports, and briefs
- Experience organizing domestic and international travel arrangements for executive teams
- Experience in using various kinds of video conferencing technology such as Microsoft Teams, Zoom, & WebEx
- Excellent verbal and written communication skills
