Substitute Secretary
On-call, as needed basis
SALARY: $16.00/hour
A full BCI (Ohio) and FBI (Federal) background check must be completed and sent to the Ohio Department of Education, upon offer of employment.
Ohio law requires candidates for employment in schools to have a criminal records check.
The Ohio Department of Education will verify that a records check is satisfactory for issuance of a teaching license or educational aide permit.
For initial employment by any organization, the records check must be no more than 12 months old, even if you are currently working for another educational organization.
Cost for background check completed at Loveland Schools is $50, cash, check or charge.
GENERAL DESCRIPTION
Maintains records and phones and completes secretarial, clerical and computer operations for the school principal and staff by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Receives and greets all staff, students, parents and visitors courteously and assists them accordingly.
Performs clerical duties including typing, filing, answering phones and providing information as requested.
Maintains a clean and welcoming environment in the front office.
Maintains inventory and processes purchase orders for classroom and office supplies as needed.
Coordinates student registration and withdrawals and maintains student records as required.
Creates packets for open registration.
Enters incoming students into the DASL system annually.
Creates cumulative folders for incoming students annually.
Assists teachers in preparation of materials as needed.
Receives and distributes inter-office and U.S. mail.
Maintains daily attendance operations and updates DASL system.
Coordinates classified time cards and teacher attendance sheets.
Assists building principal with creation of annual building budget and maintains ongoing budget reports.
Disseminates information to students, parents and teachers as requested.
Compiles, formats, types and copies Student Curriculum Guides, teacher handbooks and other publications and documents as requested by administration.
Prepares and makes deposits as needed.
Maintains office equipment such as copy machine, fax machine and printers.
Provides medical assistance in the absence of the school nurse including dispensing medication, taking temperatures and contacting appropriate personnel.
Records student attendance during fire drills.
Coordinates bus notes and changes for children.
Receives, processes and sends out letters for free and reduced lunches and school waivers.
Assesses and collects student fees and fines.
Monitors visitor sign-in and sign-out and generally assists with building security.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE
High school diploma or equivalent. Experience with personal computers is required.
LANGUAGE SKILLS
Ability to communicate effectively with students, parents, colleagues and administration. Ability to read and interpret documents such as reference manuals, Board policies and procedures manuals. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to respond to common inquiries or complaints from students, parents, agencies, teachers or members of the school community. Ability to effectively present information to administration, staff, public groups, and/or Board of Education.
CERTIFICATES, LICENSES, REGISTRATIONS
Current drivers license.
OTHER SKILLS AND ABILITIES
Ability to apply knowledge of current research and theory based on school objectives. Ability to establish and maintain effective working relationships with students, peers, parents and community; ability to speak clearly and concisely in written or oral communication. Ability to use computers where applicable. Ability to perform duties with awareness of all district requirements and Board of Education policies.
