Summary
The Department Head Secretary 1 performs routine duties requiring extensive knowledge of the executive's responsibilities and a thorough understanding of the policies, programs, procedures and regulations in effect in the area of assignment. The incumbent acts in a confidential capacity to assist or aid the Director, Associate Director, or Manager in the department. This position will have a significant role in analyzing confidential information used in collective bargaining.The incumbent may attend management meetings and may be involved directly or indirectly around confidential management decisions
Responsibilities
Performs routine duties for an assigned area. Maintains various activity and production records and composes reports. Arranges for and attends conferences, serves as recording secretary, takes minutes and prepares reports transcribes dictation which involves confidential matters, composes correspondence regarding information discussed at conferences. Performs research to compile data for special reports. Manages management team member's calendar. Commits executive's time in making appointments and maintains calendar. Reviews correspondence, which contains confidential information, and assess the correspondence according to priorities. Composes correspondence and independently drafts replies to inquiries. Establishes and maintains office filing systems and purges files according to policy. Participates in continuing quality improvement activities to continuous improvement of services provided. Attends appropriate orientation and training courses to maintain competency in job skills and knowledge. Relates and interacts well with others relative to their age specific, physical and psychosocial needs. Ensures that reports are compliance with deadlines and that all information distributed is complete. Demonstrates behaviors of service excellence and CARE values (Compassion, Accountability, Respect and Expertise). Performs all other unit specific related job duties as assigned.
Experience
Generally requires 3 to 5 years of related experience.
Education
High school diploma is required.
Skill
Ability to analyze, organize and prioritize work accurately while meeting multiple deadlines. Ability to communicate effectively in both oral and written form. Ability to handle difficult and stressful situations with critical thinking and professional composure. Ability to understand and follow instructions. Ability to exercise sound and independent judgment. Knowledge and skill in use of job appropriate technology and software applications.

Valid license or certification is required as needed, based on the job or specialty.
Working Conditions
Physical Requirements - Job function is sedentary in nature and requires sitting for extended periods of time. Function may require frequent standing or walking. Must be able to lift or carry objects weighing up to 20 pounds.
