Main Job Tasks and Responsibilities
- Be responsible for all secretarial duties for director(s) and CTE instructors and staff, which may include the following: Special Population Reports, data entry, typing, filing, mailings (minutes, memos, or letters from all meetings, etc.), update all information from instructors
- Monitor doors at the South Campus and direct individuals to the correct offices or classrooms
- Monitor student attendance including preparing reports for the other schools, Counselor, director, and instructors and providing tardy and early dismissal slips for students and updated absence data in PowerSchool
- Maintain student records including updating master files and ledgers with required data and PowerSchool
- Input all student data into INTERS for all CTE students including but not limited to demographics; registration and grades
- Complete and Submit the (INTERS) Indiana Technical Education Reporting System (Career & Technical Education Student Enrollment/Completion Information Report), as needed
- Generate all required state and federal reports, both on the INTERS system and manually, and submit said reports to the coordinator for approval.
- Perform all record-keeping tasks associated with the CTE Education program, including mastery of the INTERS computerized attendance and reporting system as well as provide accurate hand-generated reports to support the INTERS system.
- Responsible for various forms of reports including but not limited to internal reports INTERS data reports; local reports for cooperating agencies; count day repots and state reports, following timelines
- Stay up to date on all new and current Federal requirements for CTE and ABE
- Attend meetings and trainings when necessary for ABE and CTE data systems
- Ensure all substitute placements are filled
- Maintain contract files including editing, as needed
- Maintain achievement data as following CTE requirements
- Ensure instructors are current on all required licenses and maintain files
- Maintain professional development records
- Responsible for communication using district programs and guidelines for students and staff
- Assist instructional staff with completing state-required forms and reporting of test scores and achievement data.
- Other reasonable duties assigned by director(s)
- High School Diploma or equivalent
- Demonstrates strong interpersonal skills
- Maintains professional and friendly demeanor and ability to work well with a diverse population
- Knowledge of accounting fundamentals, manual and computer accounting methods, and general office procedures, preferred
- Highly organized and detail-oriented
- Ability to manage time efficiently and multi-task effectively including following specific deadlines and submission dates
- Demonstrates strong writing and editing abilities with the ability to communicate clearly and effectively
- Maintain confidentiality at all times
- Strong computer knowledge and general office procedures
- Previous administrative assistance experience, preferred
