The Executive Assistant will support the CEO of the company by providing administrative and operational support. This role will be responsible for heavy calendar management, as well as ensuring all meetings are attended to punctually. The ideal candidate must have strong communication and organizational skills and be willing to learn and assist with whatever is needed. This role has a hybrid in-office schedule based primarily in-person in our Greenpoint, Brooklyn office and the assignment duration is expected to be from February 2025 through August 2025.

About the role

Essential Functions and Responsibilities:

  • Supports the CEO primarily and provides additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Coordinates complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Books all travel arrangements including airline, hotel, and transportation reservations
  • Assists with all meeting preparation including documents and presentations, agendas, quarterly board decks and location logistics of conference rooms and catering
  • Maintains info/files and proactively monitors emails to flag any pressing items for meetings – continue library filing system in outlook
  • Receives/reviews (and actions where applicable) all internal and external mail
  • Answers phone for CEO, takes detailed messages, screens calls, and re-directs callers as needed
  • Processes expenses and reimbursements
  • General administrative duties for the organization, including but not limited to, filing; order office/kitchen supplies; arrange for messengers, lunches, etc.
  • Maintains confidentiality of all corporate, personnel, personal, and financial matters
  • Miscellaneous projects and other related duties as assigned by the CEO

  • Position requires 3-5 years relevant work experience reporting directly to upper management
  • Superior organizational skills
  • Excellent communication and interpersonal skills
  • Advanced computer skills (Outlook, Word, Excel, PowerPoint)
  • Ability to handle multiple priorities in a fast paced, multi-dimensional environment
  • Ability to handle confidential matters and apply discretion
  • Positive attitude and flexible
