Job Description
Position Summary
The Assistant Warehouse Manager role typically supports large warehouse operations and is designed to support the Branch Warehouse Manager, acting in partnership with and filling in for that Warehouse Manager when he or she is out of the branch. This is a working manager responsible for scheduling of staff and directing activities in the assigned functional area/s of the warehouse on a day-to- day basis. Responsible for assisting the Warehouse Manager in delivering excellent customer service, managing processes and efficiencies, tracking warehouse accuracy and productivity, facility maintenance, communication, safety, and training. Supports and coordinates warehouse activities under the direction of the Warehouse Manager. Ensures a well-coordinated overall operation including financial performance and employee training, supervision, and support.
Must be proficient and experienced in warehouse operations, RF Scanner, and/or in HVAC/R products and general warehouse operation knowledge. While responsibilities may vary based on branch operations, the Assistant Warehouse Manager must be capable of filling in on all warehouse activities and jobs as needed that include, but are not limited to receiving, order filling, stock replenishment, customer will call, and inventory cycle counts.
Essential Job Functions
As noted above, the Assistant Warehouse Manager is required to fill in on duties and responsibilities for all areas within the warehouse. These duties may include but are not limited to the following:
- Supports the Warehouse Manager by assisting in scheduling of personnel to ensure proper staffing levels are maintained in order to handle the volume of work in a productive and cost-efficient manner. Supports the warehouse mission by directing warehouse activities, scheduling inbound and outbound shipments, inventory control, and overall support of all warehouse initiatives that includes the safety program, quality control, and operational efficiency.
- Directs the day-to-day activities within the assigned area/s of the warehouse. Such activities may include but not limited to one or more of the following areas: shipping, receiving, sanitation, facilities and equipment maintenance, and inventory control.
- In coordination with the Warehouse Manager, monitors warehouse productivity and accuracy in order to clearly communicate standards to all warehouse personnel and assure compliance. Adheres to established budget requirements and works toward obtaining company objectives and goals.
- Ensures the proper maintenance of warehouse equipment, providing both preventative maintenance programs and all necessary repairs. Ensures that warehouse personnel have appropriate, safe, and efficient equipment in order to perform their assigned duties.
- Supports or is responsible for warehouse safety programs in order to provide a safe workplace for employees. Follows good housekeeping practices and ensures OSHA and other federal and state regulations are followed. Ensures all warehouse personnel are in compliance with safe operating standards including forklift training certification and familiarity with MSDS requirements. Reports and follows up on incidents or safety concerns.
- Works with Warehouse Manager to recommend equipment requirements and replacements in order to upgrade and maintain warehouse productivity and efficiency.
- Ensures proper lines of communication are firmly in place through the utilization of department meetings, daily person to person contact, an open-door policy, and completing formal-written employee performance reviews.
- Supervises direct reports as assigned and assists Warehouse Manager with responsibilities of maintaining expected levels of performance, attendance, and compliance with company policies through effective interviewing, hiring, training, coaching, counseling, and overall performance evaluation and management. This includes one-on-one employee counseling, oral and written counseling as situations arise in compliance with company policy, and training and general employee support.
- Ensures shipments received are accurate and in good condition, stock replenishments occur, customer orders are filled, and inventory is accurate. Participates in all levels of warehouse operations to support staff and provide friendly, accurate and prompt customer service.
- Resolves problems or issues by working cooperatively and professionally with coworkers, direct reports, and supervisors.
- Ensures a productive, team-based environment exists in the warehouse operation and in partnership with the Warehouse Manager and Branch Manager sets a high standard for customer service.
- Maintains a safe work environment by leading by example with safe work methods at all times, following current Warehouse safety rules, maintaining equipment, and maintaining a clean work area where cardboard, paper, and plastic debris are disposed of properly. May lead safety initiatives and programs as assigned.
- Acts as and is responsible for the duties of the Manager role in the absence of the Warehouse Manager.
- Perform other responsibilities as assigned for the smooth and efficient operation of the branch.

Final Decision Maker
Decision making on employee work schedules under the direction of Warehouse Manager as well as delivery and/or receiving schedules and/or changes and equipment maintenance repair and replacement.
As the second in charge, the Assistant Warehouse Manager should be able to resolve most issues and problems within the scope of assigned job responsibilities but should check with Warehouse Manager when issues arise that they are not familiar with.
Qualifications of Assistant Warehouse Manager
To perform this job successfully, an individual must be able to perform all five of the essential duties satisfactorily. Essential duty assignments in a warehouse include: receiving, order filing, stock replenishment, will call and inventory cycle counting. The Assistant Warehouse Manager should be fully cross-trained to fill any and all positions and should demonstrate his/her willingness as a team player to do so based on operational needs. Additionally, must demonstrate leadership qualities and must be able to motivate subordinates to action in achieving the warehouse mission. Education, Work Experience & Specialized Skills or Knowledge
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
- High School or equivalent general education degree (G.E.D.) required; Bachelor’s Degree in a related field preferred.
- Minimum of three to five years’ experience in small to medium size distribution/warehouse/logistics operations with HVAC/R industry experience preferred.
- Minimum of three years of supervisory experience in a complex environment including all aspects of direct personnel management and/or process management. Years of experience with Johnstone Supply may be substituted for direct supervisory experience.
- Experience with contract negotiation and contract management preferred.
- An excellent working knowledge of the company’s operating system and technical platforms. Eclipse and RF scanner experience preferred.
- Facility operation, planning, and budgeting in a fast-paced work environment.
- Knowledge of warehouse/logistics work methods, shipping, receiving, flow patterns, freight, and layouts.
- Minimum of three years’ experience in customer service.
- Ability to collect data, evaluate results, draw valid conclusions and effect positive change to achieve the warehouse mission and branch goals.
- Heightened sense of detail orientation to assess, model, and maintain the productivity and accuracy levels consistent with company warehouse operations standards and other regulatory requirements.
- Knowledge of governmental regulations as applied to product distribution such as OSHA regulations, workers’ compensation, and hazardous materials handling.
- Possess or quickly acquire knowledge of branch geographic service area in order to dispatch vehicles and efficiently route deliveries.
- Ability to drive a forklift truck and operation other warehouse equipment.
- Demonstrated leadership and motivational qualities.

- Ability to work with others and motivate the warehouse team to achieve the warehouse mission.

Certificates, Licenses, Registrations
Must be able to become certified and maintain certification through an OSHA approved forklift certification program offered at the company.

Physical Demands
While performing the duties of this job, the employee is required to stand and walk on a concrete floor through a warehouse for the majority of the workday. The employee is regularly required to reach with hands and arms; climb or balance; stoop, kneel, crouch or crawl; and lift up to 50 pounds, but is expected to seek assistance or utilize a mechanical device to lift or move product above this weight limit. The Assistant Warehouse Manager is required to talk and hear in the course of their warehouse duties. Special vision requirements are distance vision; peripheral vision, and color vision.
Warehouse Environment
Large warehouse with racks and bins, most work is performed using forklifts, pallet jacks, and RF scanner. Warehouse is not air conditioned and the climate can be very warm in the summer months, but not extremely hot or cold.
