Summary:
The Executive Assistant to the President will provide high-level administrative support to the President and senior management team, while supporting the administrative office functions. The successful candidate will be responsible for organizing and managing busy schedules, making travel arrangements, coordinating meetings and events, managing expense reports, and creating presentations, reports, and other correspondence.
This role requires someone with the ability to interact with senior-level executives and stakeholders with professionalism while ensuring confidential information is maintained. Additionally, this role will be integral in creating a positive and welcoming environment for the organization. Reporting directly to the President and based in the corporate Houston office. While the role generally adheres to normal business hours, it may require work outside normal hours due to business demands.
Duties and Responsibilities:
- Serve as the point of contact among the executive team, employees, clients, the board of directors and other external contacts.
- Proactively provide a full range of administrative support, manage complex executive calendars, scheduling appointments, meetings, expense reports, and travel arrangements.
- Prepare presentations and reports with exceptional quality, and properly handle sensitive information, correspondence, emails and communications.
- Assist in preparing and monitoring administration budget, tracking office and company expenses ensuring cost-effectiveness.
- Plan and execute company events, meetings, and conferences.
- Other duties as assigned.
Requirements:
- Minimum 5 years’ experience in a senior administrative role, with a minimum of 3 years supporting executives.
- Post-secondary diploma or degree in business administration, or relevant designations in a related field is an asset.
- Highly proficient in MS Office including Word, Excel, PowerPoint, Teams, SharePoint, Outlook, and Adobe.
- Ability to maintain a high level of professionalism, exercise good judgment and work with discretion and flexibility to meet changing workloads and priorities.
- Excellent written and verbal communication skills along with the ability to interact effectively with other executives, senior managers, employees, customers, and partners.
- Self-directed with the ability to work with minimal supervision and take initiative when required.
- High energy and positive person with demonstrated organization, prioritization, and critical thinking skills as well as proven listening skills.
