Project Administrative Assistant- Compli
Compli, LLC, a George Butler Associates’ affiliate, was founded in 2001 to provide commissioning, validation, regulatory compliance and project support services to the life sciences industry. We serve pharmaceutical and life science companies across North America. With regard to regulations and compliance, it’s never been more important to understand the documentation and quality assurance activities as they relate to vendors, engineering, construction and contractors, which is why clients trust the Compli team.
We are currently looking for a highly organized individual who has a strong attention to detail to support our team. This individual will work on a wide variety of job responsibilities supporting our team. This position will act as a coordination hub for the department assisting multiple staff members and helping to ensure all parts and pieces are managed to deadlines. The ideal candidate will have a positive customer focus assisting both internal employees and external clients. Responsibilities:
- Provide project administrative support to Project Managers and our field execution team.
- Support Executive Leadership Staff.
- Assist Project Managers with project documentation offering editing and accuracy reviews.
- Maintain and update project files in appropriate electronic and manual formats.
- Organize procedures to maintain office efficiency and quality of documents, reports, letters, and specifications.
- Manage project documentation, submittals, RFI, proposal requests, change control documents, etc.
- Assist with various office administration tasks as needed including, answering calls, coordinating group meetings, office events, conference registration coordination, travel arrangement, etc.
- Assist with project accounting activities.
- Plan and coordinate company engagement events and initiatives.
- Track and maintain office supplies.
- Other duties as assigned.
Requirements:
- At least 5 years of experience required.
- Associate or bachelor’s degree preferred not required.
- Project cost accounting knowledge.
- Prior project administration experience preferred.
- Proficient use of Microsoft Office, including Excel, Word, and Power Point.
- Ability to learn and acquire proficiency in specific software such that the project team may utilize.
- Strong mathematical aptitude.
- Detail oriented with ability to manage multiple projects at the same time with first time quality performance.
- Ability to compose, edit and proofread documents.
- Excellent communication skills, both verbal and written.
