Salary: $19-$21 hourly

Qualifications

  • High school diploma or equivalent required.
  • Bilingual in English and Spanish.


Skills and Experience:

  • One to two years of administrative experience, preferably in construction, or related industry.
  • Must have knowledge of commonly used administrative and office concepts, practices and procedures.
  • Demonstrate proficiency with MS Office Suite and the ability to learn new software quickly.
  • Ability to work well with all levels of staff as well as external customers.
  • Ability to maintain confidentiality.
  • Attention to detail and accuracy.
  • Exceptional problem-solving skills with consistent follow through.
  • Strong customer service focus.
  • Independent, dependable worker with little to no supervision required.
  • Excellent verbal and written communication skills required as well as interpersonal skills.
  • Excellent organizational, time management, and critical thinking skills.


Responsibilities

  • Answer a multi-line system telephone, answer inquiries, route calls as necessary, take and relay messages.
  • Greet visitors warmly and make sure they are comfortable, serving as the first line of internal or external contact between the office, employees, and the public.
  • Monitor visitor access and maintain security awareness.
  • Process mail and packages, distribute according to procedures, and prepare outgoing mail by drafting correspondence and securing parcels.
  • Check, sort, and forward emails.
  • Order and maintain inventory of all office supplies.
  • Assist with assembling documents, scanning, copying, filing, etc.
  • Assist department manager and/or supervisors with weekly and monthly reporting.
  • Ensures that directories, references, and other records are up to date.
  • Maintain office equipment to ensure it is operational by following manufacturer instructions and established procedures. Place a service call for malfunctioning office equipment.
  • Manage office and cellular telephone systems to include new line set-up, troubleshooting, equipment purchases, insurance claims, etc.
  • Contribute to the success and functionality of the office by being flexible and willing to assist where needed.
