Summary:
Under the supervision of the principal or assistant principal, the School Secretary plays a vital role in ensuring the smooth operation of our school. This position involves a variety of tasks, including:
  • Administrative Support: Providing essential administrative support to the principal and assistant principal.
  • Schedule Coordination: Creating, managing, and distributing schedules for diverse school activities, events, and appointments.
  • Attendance Management: Overseeing and maintaining accurate daily attendance records for all students.
    • Managing and overseeing student management system, powerschool.
  • Clerical Duties: Handling general office tasks such as filing, copying, and data entry.
  • Flexibility: Willingness to adapt to changing priorities and take on additional responsibilities as needed.

Start Date, Training, and Job Share:
This position is scheduled to commence on March 1, 2025. To facilitate a smooth transition, job sharing and training opportunities will be available throughout the month. The position will officially become full-time on or before April 1, 2025.

QUALIFICATION REQUIREMENTS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND/OR EXPERIENCE:
High school diploma or general education degree (GED); two years experience in an increasingly responsible secretary position and/or evidence of post-secondary training in bookkeeping and accounting.

LANGUAGE SKILLS:
Ability to read, analyze and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write reports and procedure manuals. Ability to speak effectively before students, staff, and parents.

MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES:
Ability to type at least 60 wpm with accuracy. Demonstrated ability to operate a personal (IBM and/or Mac) and mainframe computer and related software (word processing, spreadsheet, databases, graphics, Page Maker, Meeting Maker, Internet). Ability to operate contemporary office equipment and knowledge of school office practices. Ability to communicate clearly and concisely both orally and in writing. Ability to develop effective working relationships with students, staff and the school community. Ability to perform duties with awareness of all District requirements and Board of Trustees policies.
