Client Overview:
Our not-for-profit client is dedicated to providing access to improving community health. They work collaboratively with local communities, organizations, and stakeholders to create positive, lasting change. They seek an enthusiastic, mission-driven Events Assistant to join their team and help expand their impact.
Salary/Hourly Rate:
$60k Dependent on experience
Position Overview:
The Events Assistant provides critical support for the not-for-profit's events and development activities, focusing on data entry, managing in-kind donations, crafting and sending e-blast communications, ensuring accurate donor acknowledgments, and coordinating event volunteers.
Responsibilities of the Events Assistant:
  • Collaborate with trustees, committee members, donors, and vendors.
  • Work closely with the Development and Communications teams to ensure timely project completion.
  • The Events Assistant will be responsible for helping with annual events, across all phases of planning and execution.
  • Track and manage in-kind donations, ensuring timely arrival for the auction.
  • Work with the Events team to organize, pack, and label all auction items.
  • Develop item descriptions and create auction materials, including certificates and signage.
  • Oversee the set-up of the silent auction.
  • Prepare post-event thank-you letters for all in-kind contributors.
  • Assist the special events team with post-event tasks such as follow-up calls and item shipments.
  • Keep up-to-date records for volunteers in the Raiser’s Edge database.
  • Prepare materials for volunteer orientations and train volunteers for event tasks.
  • Provide on-site event support, overseeing setup and breakdown activities.
  • Use Raiser’s Edge to generate mailing lists and query data as needed.
  • Help with event registrations and gift processing.
  • Collaborate with the gift processing team to ensure the accuracy of donor information and prompt acknowledgment of gifts.
  • Keep records within Raiser’s Edge and the Events Module up to date.
  • Knowledge of Stripe is a plus.
  • Other duties may be assigned as required.
Qualifications for the Events Assistant:
  • Must possess strong interpersonal skills to work effectively with both internal and external teams.
  • The Events Assistant should be able to work collaboratively in a team setting.
  • Proficiency in Raiser’s Edge or a similar donor management system is required.
  • Strong passion for supporting event planning and execution within the nonprofit sector.
  • Excellent organizational, written, and verbal communication skills.
  • Ability to manage multiple tasks with keen attention to detail.
  • Experience with live and silent auction coordination is a plus.
  • Flexibility to work evenings and weekends during peak event periods, with occasional travel to Connecticut, Long Island, and New Jersey.
  • Capability to lift 25 - 40 Lbs.
Education Requirements:
  • Bachelor's degree with 1 - 3 years of experience in development or special events.
