MalaceHR is seeking a detail-oriented and proactive Administrative Assistant to join our team. The primary function of the Administrative Assistant is to provide high-level administrative support, manage office communications, and perform various clerical functions. This role involves handling information requests, conducting research, and ensuring smooth office operations. The Administrative Assistant will be responsible for managing office tasks and supporting senior team members.

Key Responsibilities:

  • Perform general office duties such as ordering office supplies, maintaining records management systems, and assisting with basic bookkeeping tasks.
  • Prepare and format invoices, reports, memos, letters, financial statements, and other documents as required.
  • File, organize, and retrieve corporate documents, records, and reports, ensuring proper documentation management.
  • Open, sort, and distribute incoming correspondence, including faxes and emails.
  • Prepare responses to routine inquiries and forward them to the appropriate personnel.
  • Provide administrative support to various departments and team members as needed.

Skills and Qualifications:

  • Strong verbal and written communication skills.
  • Excellent multi-tasking, organizational, and time-management skills.
  • Ability to work independently and handle multiple tasks efficiently.
  • Strong attention to detail and ability to keep information organized and confidential.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Exceptional customer service and interpersonal skills.
  • Ability to adapt to new tasks and challenges in a fast-paced environment.

Education and Experience:

  • High school diploma or GED required.
  • 2-4 years of experience in an administrative or clerical role.

Working Hours:

  • 8:00 AM - 5:00 PM, Monday to Friday.
