Job Overview:
Cushman & Wakefield | Thalhimer is seeking a professional and friendly Receptionist/Administrative Assistant to join our team. This role is responsible for greeting visitors and clients, handling incoming deliveries, managing the main phone line, and assisting with various administrative tasks to ensure smooth daily operations at our office. The ideal candidate will have a strong customer service background and experience managing high-volume, multi-line phone systems.

Key Responsibilities:
  • Manage Incoming Calls: Answer all incoming calls, transfer to the appropriate department, or direct to voicemail as needed between 8:00 AM and 5:00 PM.
  • Visitor Reception: Greet clients and visitors, ensuring they are directed to the appropriate destination while maintaining office security protocols.
  • Mail and Deliveries: Open and distribute incoming mail, process mailers (folding and stuffing envelopes), and manage vendor bills and related documents.
  • Conference Room & Office Maintenance: Monitor conference room schedules, ensure rooms are tidy and set up for meetings, and manage janitorial requests.
  • Assist Accounting Department: Help with administrative tasks, including entering data into spreadsheets, mailing rent coupons, handling commercial rent documentation, and updating insurance certificates for tenants.
  • General Administrative Support: Ensure the reception area and lobby are well-maintained, monitor the status of office equipment (TVs, lights, phones), and assist with various other office duties as assigned.

Qualifications:
  • Minimum of 2 years of relevant work experience.
  • Strong customer service skills with a professional telephone manner.
  • Experience with high-volume, multi-line computerized telephone systems.
  • Ability to handle confidential information and maintain office security.
  • Basic administrative and organizational skills, with attention to detail.
  • Ability to multitask and prioritize tasks in a fast-paced environment.

Desired Skills:
  • Knowledge of office equipment and software (e.g., Microsoft Office Suite).
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
