We are seeking a highly organized and proactive Executive Assistant to support our executive team in managing their day-to-day operations. This is a contract to hire opportunity and we're seeking candidates who can start immediately!
The ideal candidate will be adept at multitasking, possess exceptional communication skills, and exhibit a high level of professionalism and discretion. This position offers an excellent opportunity to work closely with senior leadership in a dynamic and fast-paced environment.
Responsibilities:
- Manage executives' calendars and schedules, including arranging meetings, appointments, and travel arrangements.
- Screen and prioritize incoming emails, phone calls, and correspondence, ensuring timely responses and follow-up as necessary.
- Prepare and edit documents, presentations, and reports for internal and external distribution.
- Coordinate and facilitate communication between executives and various stakeholders, both internal and external.
- Conduct research on behalf of executives, compiling information and reports as needed.
- Assist in the planning and execution of company events, meetings, and conferences.
- Handle confidential information with discretion and maintain strict confidentiality at all times.
- Assist in managing expense reports and reimbursements.
- Perform general administrative tasks such as filing, photocopying, and ordering office supplies.
- Act as a liaison between executives and other team members, ensuring smooth communication and coordination of tasks.
Requirements:
- Proven experience as an executive assistant or similar role, preferably in a fast-paced environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal, with a professional and courteous demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Resourcefulness and problem-solving skills, with a proactive approach to resolving issues.
- Flexibility and adaptability to changing priorities and deadlines.
- High attention to detail and accuracy in all work performed.
- Bachelor's degree or equivalent work experience preferred.
- Availability to work part-time hours, with flexibility to adjust schedule as needed to accommodate executive's requirements.
