TITLE:Executive Assistant, Office of the CEORESPONSIBLE TO:Chief of Staff, Chief Executive OfficerDIVISION/DEPT:ExecutiveSUPERVISES:N/AFLSA STATUS:Exempt


BASIC FUNCTION:

• Serve as the primary point of contact for the CEO’s agenda, email management, travel and meeting scheduling.

• Ensure strategic priorities and projects are followed up on and completed in a timely manner.

• Coordinate internal executive, operational and organizational activities on behalf of the CEO in a discrete and proactive manner.

• Manage the CEO’s social media presence in collaboration with Public Relations.


SPECIFIC DUTIES:

• Continually monitor the flow of information, including phone calls, emails, correspondence, meeting requests and personal visits to the Office of the CEO.

• Coordinate and execute certain CEO communications, including the social media strategy for the CEO, providing writing and editing support.

• Prepare, review and edit any communications coming from the CEO or the office of the CEO, including written correspondences, voicemails, letters, emails, congratulatory notes, policy documents, research, PowerPoint presentations, speeches, etc.

• Manage CEO’s travel, meeting schedules, and expenses.

• Support committee meetings or serve as a liaison to internal and external groups

• Anticipate client needs and proactively address potential issues before they arise

• Build and maintain relationships as necessary to help facilitate and achieve the strategic goals and priorities of the CEO and GII.

• Carry out research on policy, personnel, GII bylaws, business models, or any other needs that the CEO may have.

• Occasional support for other events and organizational needs such as ordering lunch, coordinating team dinners or meeting logistics, managing mail, gifts, printing, invoices, etc.

• Other duties or special projects as necessary to achieve organizational and strategic objectives.


RELATIONSHIPS:

• Internal: Daily contact with the CEO, Chief of Staff, and GII team members across departments.

• GII Members: Frequent contact with Goodwill members, funders and GII Board Members.

• Outside: Regular outside contact with a wider variety of stakeholders.

• Government Officials: N/A


SKILLS NEEDED:

• Strong written and verbal communication skills, with the ability to communicate clearly and concisely.

• Exceptional organizational and time management skills, with ability to prioritize and multitask effectively

• Ability to quickly gain an understanding and anticipate the CEO’s style and needs and adapt own style as appropriate.

• Ability to build trust, evidence integrity, and demonstrate credibility with GII team members, GII Board Members, Goodwill members, and other stakeholders.

• Effective interpersonal skills to be capable of working with all levels of the organization.

• Ability to maintain confidentiality and exercise discretion.

• Advanced proficiency in Microsoft Office Suite as well as web research.

• Understanding of the Goodwill business model and the major business lines of the organization.

• Ability to travel to office in Rockville, Maryland as well as occasional national events.


EDUCATION: Bachelor’s degree in business administration, organizational development or other appropriate discipline OR equivalent experience.

EXPERIENCE: Minimum 5 years as an Executive Assistant or similar role supporting C-Suite level executive(s).

DECISION MAKING: Decisions related to organizational priorities and budget, and team member projects and time management.

SUPERVISION: General: latitude is given to determine approaches, procedures and methodologies for accomplishing the work.

PHYSICAL EFFORT: Sedentary, lifting 10 lbs. maximum. Walking or standing is required only occasionally. Requires long hours at a computer.

EMOTIONAL EFFORT: Work environment can be hectic with periods of high stress. Will need a positive attitude to meet daily challenges.
