Key Responsibilities

  • Manage complex calendars, including scheduling meetings, travel, and events.
  • Anticipate the needs of executives and proactively address requests or potential issues.
  • Prepare agendas, take meeting notes, and track action items for follow-through.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Act as a liaison between executives and internal/external stakeholders, building and maintaining relationships.
  • Draft, proofread, and distribute communications on behalf of leadership.
  • Coordinate domestic and international travel arrangements, including itineraries and logistics for events or conferences.
  • Assist with strategic initiatives and special projects, ensuring timelines and resources are effectively managed.
  • Prepare reports and presentations for meetings with executives, clients, or other stakeholders.
  • Organize and prioritize tasks to meet deadlines and support efficient operations.

Qualifications

Experience

  • 5+ years of experience supporting senior leadership in an executive assistant or similar role.
  • Proven ability to handle multiple priorities in a high-pressure environment.
  • Experience with project management or cross-functional team coordination is a plus.

Skills & Competencies

  • Exceptional organizational, multitasking, and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and other relevant tools.
  • Ability to work independently, take initiative, and manage urgent tasks with professionalism.
  • Strong interpersonal skills and a commitment to excellent service.

Education

  • Bachelor's degree or equivalent experience preferred.
