Spaceworx is seeking a highly organized and personable Receptionist/Executive Assistant to join our dynamic team. This position plays a critical role in ensuring the smooth operation of our office and providing exceptional support to our executives, sales account manager and production manager.
As a Receptionist/Executive Assistant, you will be the first point of contact for visitors and clients, and your professionalism and warm demeanor will create a welcoming atmosphere. You will also be responsible for managing office operations, scheduling meetings, handling correspondence, and supporting various administrative tasks.

Responsibilities
- Greet and welcome visitors, clients, and employees with a positive and professional attitude
- Answer and direct incoming calls to appropriate personnel
- Assist with Sales Managers showroom demos and scheduling appointments
- Organize meetings, prepare agendas, and take minutes as needed
- Assist with travel arrangements, event planning and training sessions.
- Maintain an organized and efficient office environment
- Handle incoming and outgoing mail and packages
- Perform general administrative tasks, including filing, scanning, and data entry
- Prepare correspondence, reports, presentations, and other documents as needed.
- Oversee office supplies inventory and place orders as required.
- Support various special projects and initiatives as assigned
Requirements
- Proven experience as a receptionist, executive assistant, or in a similar administrative role
- Exceptional, clear verbal and written communication skills
- Strong organizational and multitasking abilities
- Ability to prioritize and manage time effectively
- Proficient in Microsoft / Google Office Suite (Word, Excel, PowerPoint, Gmail.)
- Proficient in navigating and ERP software system (example: Odoo)
- Familiarity with office equipment, such as printers, copiers, and fax machines
- High level of professionalism and discretion when dealing with confidential information
- Strong attention to detail and accuracy in work
- Suitable, decent attire (corporate causal acceptable)
- Non smoking office environment
- Positive attitude and ability to work collaboratively in a team environment
