Job Description
We are seeking a skilled and highly organized individual to fill the role of Executive Secretary to the President. This critical position will provide comprehensive administrative support to the President of the company, ensuring the efficient operation of the executive office. The ideal candidate will possess exceptional organizational skills, discretion, and the ability to manage a wide range of responsibilities. Executive Support:
Provide administrative support to the President, managing calendars, scheduling meetings, and coordinating travel arrangements.
Act as the primary point of contact between the President and internal/external stakeholders.
Communication and Correspondence:
Draft, edit, and proofread correspondence, reports, and presentations for the President.
Manage and prioritize incoming communications, responding on behalf of the President when appropriate.
Meeting Coordination:
Plan and organize meetings, including the preparation of agendas, meeting materials, and minutes. Coordinate with various departments to ensure seamless information flow to and from the President.
Document Management:
Maintain and organize confidential and sensitive information, ensuring proper documentation and filing systems. Prepare and compile reports, presentations, and other documents as required by the President.
Office Management:
Oversee the President's office operations, ensuring a well-maintained and efficient workspace.
Coordinate with relevant departments for office supplies, equipment, and maintenance.
Relationship Management:
Cultivate and maintain positive relationships with internal and external stakeholders on behalf of the President. Act as a liaison between the President and other departments within the organization.
Qualifications
Proven experience as an executive secretary, administrative assistant, or similar role supporting top-level executives.
Exceptional organizational and time-management skills with acute attention to detail.
Excellent written and verbal communication skills.
Proficient in office software and communication tools.
Ability to handle confidential information with discretion and professionalism.
Strong interpersonal skills and the ability to work collaboratively in a fast-paced environment.
Education and Experience:
Bachelor's degree in business administration, secretarial studies, or a related field.
Previous experience supporting C-level executives is highly desirable.
