Job Description and Duties

Under the general supervision of the Office Services Supervisor I (Typing), the Office Assistant (Typing) is responsible for performing as the Subpoena Clerk for the Riverside Area.

Process criminal/traffic subpoenas: enter into Division Database and route processed subpoenas to Sergeant's office for service. Enter acknowledged subpoenas/completed appearances into Division Database and file/maintain for retention period. Process incoming Trial by Declarations (TBD) and return officer declarations electronically to appropriate court. Maintain TBD file. Process Motion for Continuances and forward forms to appropriate court. Ensure the CHP 90, Report of Court Appearance-Civil Action, forms are completed/processed correctly in a timely manner and maintain files. Process incoming Pitchess Motion and departmental lawsuits and maintain associated files for retention period.

Receive and review all Informal Discovery requests and respond accordingly/timely. Gather, prepare and certify correspondence for all records requests for Mobile Video/Audio Recording Systems (MV ARS), Radio Detection and Ranging (RADAR), Light Detection and Ranging (LIDAR), Preliminary Alcohol Screening device (PAS), and citations by composing letters for the Area Commander's signature. Also, prepare correspondence if no records are available. Enter DMV Duces Tecums into Division Database, process all required paperwork, complete CHP 247, Production of Records, forms and mail completed documents using certified mail.

Public Records Act (PRA) Clerk: Accept and process all incoming PRA requests. Coordinate record releases/responses with the Public Records Unit and Office of Legal Affairs. Type all related correspondence and response letters. Process weekly incoming public arrest log requests and maintain the CHP 520, Area Public Records Act Request Log, forms.

Receptionist duties: Answer telephones, route calls to the appropriate desk, take messages, make various appointments (Vehicle Identification Number/Car Seat/Start Smart) and assist the public with various general questions. Balance the daily cash fund transmittal to ensure all monies and receipts are accounted for. Back-up clerk for the arrest desk. Other duties, within the scope of the classification, as assigned.
