Position Summary:
The Executive Assistant (EA) to the CEO plays a significant role in supporting the President and CEO's engagement with internal and external stakeholders. This position has the primary responsibility for providing a wide range of complex and confidential administrative support to the Office of the President. The EA coordinates activities and ensures that the office's day-to-day operation is efficient and effective. In addition, this position provides excellent customer service, demonstrates initiative, takes ownership of responsibilities, and completes projects with positive results. The EA handles administrative and executive support related tasks independently with little or no supervision. The EA must be exceedingly well organized, flexible and enjoys the administrative challenges of supporting a busy executive, complicated travel schedules, overall office of the president support, board meetings and interacting with employees.
Essential Duties and Responsibilities:
Exhibits a total commitment to high quality service standards and demonstrates excellence in dealing proactively with staff, board, partners, visitors, and all TDECU.
Anticipates the needs of CEO & Office of the President, understanding organization, member, board and employee priorities.
Coordinates and manages executive's schedule, exercising judgment and professionalism.
Schedules and coordinates travel, speaking engagements, conference calls, team and 1:1 meeting(s) in partnership with the Chief of Staff.
Prioritizes and manages information (email/mail/phone) coming into and going out of the Office of the President.
Composes and edits correspondence on behalf of the CEO, coordinates follow-up and outreach to key individuals.
Prepares, reviews, tracks and processes all expense reports and reimbursements.
Performs research on various issues, policies, potential board concerns and organizations as required.
Manages corporate credit card and handle all procurement for the Office of the President and CEO.
Disseminate decisions and instructions, answer inquiries to aid in the resolution of routine matters. Receives and assists visitors, recommending other contacts for them, as appropriate.
Remains knowledgeable of organization policies, systems, organizational history, goals, philosophies and purpose.
Drafts minutes, composes and prepares confidential correspondence, reports and other complex documents.
Assists with special events, assist with planning staff meetings and organization celebrations.
Completes all mandatory compliance and regulatory testing within the designated time frame and other compliance assignments including Office of Foreign Assets Control (OFAC), Unusual Activity Reports (UAR), and Security processes.

- Supports administrative duties, circulate information appropriately, document and share with appropriate staff, external individuals and organizations.

Office of the President
- Supports administrative duties, circulate information appropriately, document and share with appropriate staff, external individuals and organizations.
Board Engagement
- Supports the President and CEO engagement in board activities including board committee meetings and individual board engagements, when necessary.
- Supports the development of board and committee agendas, notices, and logistics in alignment with Corporate Secretary and Office of the President.
- Welcomes visitors, guests, and vendors, issuing and tracking visitor badges as needed, and connecting them to the appropriate staff while providing a welcoming positive introduction to TDECU; liaise with building's main front desk and security on in-office days.
Education:
- Bachelor's degree in business administration, human resources, or related field from an accredited institution, or equivalent education and work experience required.
- Master's degree preferred.
- Six plus years of demonstrated success in supporting C-suite or executive-level leadership.
- Experience with project management and scheduling software is highly preferred.
- Banking experience preferred.
- Experience prioritizing multiple projects and balancing competing priorities.
- Advanced proficiency in Microsoft Office Suite, with advanced skills in Excel, PowerPoint, Adobe, Word and preferably board portal software.
- Exceptional organizational, communication, and time-management skills. Ability to manage multiple priorities in a fast-paced environment with discretion and a high level of professionalism. Thrives under pressure.
- Advanced understanding of budget management.
- Demonstrated skills in or the ability to quickly learn new applications.
- Proven ability and commitment to maintaining confidentiality, with strong track record of managing sensitive information with discretion.
- Proven experience of working effectively with employees at all levels.
