Compensation: $65,000 to $75,000

Position Overview:

Title: Executive Assistant

Reports to: Chief Executive Officer

Department: Administration

Classification: Non-Union; Exempt

The Executive Assistant to the CEO will provide high-level executive support to the CEO and the Board of Directors. This position will coordinate executive outreach and external relation efforts which includes special projects and agency events. This position requires flexibility as it includes ongoing support for the CEO and assists with Board-level administrative duties.

Qualifications:

Bachelor's degree required; five (5) or more years of related experience in an executive assistant role supporting C-Level executives required; advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint required; excellent communication and interpersonal skills; ability to prioritize and function as a team player; ability to interact at all levels of the organization; creativity is required; and they must enjoy working within an entrepreneurial environment by creating workgroups to achieve excellence when planning agency-wide activities, initiatives, and events.

Essential Functions:

Executive Administration

* Assist with meeting preparation and post-meeting action items, assembling and disseminating pre-work, recording and synthesizing meeting information, building action plans, etc.

* Develops and manages operational systems that support collaboration and agency-wide initiatives.

* Attends critical meetings, captures and distributes minutes, and update reminders.

* Partners with the CEO to achieve outstanding results related to administrative tasks concerning operations, strategic initiatives, projects, and organized training and political events.

* Facilitates the planning and execution of agency events by creating teams and workgroups to ensure staff inclusion to achieve outstanding results.

* Creates marketing materials and website content for high-level agency, board, and CEO events. Engages in database management.

* Assists in the preparations of reports, presentations, and proposals as requested. Compiles data to support strategic planning initiatives.

* Responds or routes incoming inquiries and correspondence with professionalism and confidentiality.

* Creates and manages logistics/project plans by communicating with internal staff and external stakeholders about scheduling and project management.

* Assists in special projects and initiatives as assigned.

Board Functions

* Provide active communications with board members to ensure monthly participation.

* Organizes the setup of monthly board meetings.

* Captures and disseminates board meetings and other committee minutes.

* Maintains board data and yearly information regarding agency/board events.

* Facilitates organizing events that occur throughout the yearly board cycle.

* Assist the CEO in other board-related functions.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle or feel objects, tools, or controls, and climb stairs. The employee frequently is required to walk, talk and/or hear; Speaking and hearing ability sufficient to communicate effectively by phone or in person at normal volumes; Vision adequate to read correspondence, computer screen, forms, etc. The employee is occasionally required to stand and climb or balance. The employee must occasionally lift and/or move up to 25lbs. Specific vision abilities required by this position include the ability to adjust focus.
