SUMMARY

Performs a wide variety of administrative tasks in support of executive management.

ESSENTIAL FUNCTIONS
  • Provide high-level administrative support to senior management, including managing calendars, scheduling meetings, and prioritizing appointments.
  • Screen phone calls, emails, and other correspondence; respond or direct inquiries as appropriate.
  • Coordinate travel plans, itineraries, accommodations, and transportation for executives.
  • Prepare and proofread reports, presentations, and other correspondence; ensure proper organization of documents (both physical and digital).
  • Schedule, organize, and assist in the preparation for internal and external meetings, including handling logistics, preparing agendas, and taking minutes.
  • Assist with various ongoing projects by conducting research, preparing materials, and tracking deadlines.
  • Organize and coordinate company events, conferences, or team-building activities, both virtual and in-person.
  • Handle sensitive information with the utmost confidentiality and discretion, maintaining trust and professionalism.

EDUCATION & EXPERIENCE

Bachelor's degree preferred or an equivalent combination of education and experience and a minimum of three years of experience performing an executive assistant or administrative role.

KNOWLEDGE & SKILLS
  • Technical Skills: Proficiency in Microsoft Office Suite - Advanced Excel Skills
  • Excellent verbal and written communication skills with strong attention to detail.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Strong critical thinking and problem-solving abilities to resolve issues efficiently and independently.
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Ability to build strong relationships with internal and external stakeholders.
  • Ability to work well under pressure and adapt to changing priorities.

Preferred Qualifications:
  • Experience with excel and other system applications.
  • Experience with executive-level scheduling and calendar management.
  • Knowledge of project management tools and software.
  • Experience in a corporate or fast-paced environment.
  • Bilingual or multilingual skills.


PHYSCIAL REQUIREMENTS

Non-Manufacturing:
  • Typically work is in an office environment where the noise level is low to moderate.
  • Requires standing and/or sitting for prolonged periods of time.
  • Ability to lift boxes/materials weighing up to 10 lbs.
  • Requires telephone work and/or computer work, as well as interactions with other employees and customers.
  • Ability to read, write, listen, and communicate effectively.
