POSITION: School Secretary
LOCATION: Bentley Middle School

DESCRIPTION OF THE DISTRICT
The Bentley Community School District is a small-size school district east of Flint in Genesee County. The district has approximately 700 students in K-12th grades, with 150 students at the middle school. This small, tight-knit community is passionate about the educational opportunities it offers and takes great pride in all students' success.

POSITION DESCRIPTION
We are seeking a friendly and organized individual to join our dynamic middle school team as a Secretary. This role is crucial in providing essential administrative support to our school community.

RESPONSIBILITIES
  • Administrative Support
    • Manage and maintain accurate student records, including attendance, grades, and disciplinary actions.
    • Process student enrollment applications, including verifying residency and collecting required documents.
    • Maintain accurate student immunization records while working with the Health Department to ensure compliance.
    • Coordinate open house, parent teacher conferences, field trips, assemblies, and the end of the year activities.
    • Prepare and distribute correspondence, reports, and other documents as needed.
    • Handle incoming and outgoing mail and packages.
    • Maintain office supplies inventory and order supplies as necessary.
  • Communication
    • Greet and assist visitors in a professional and courteous manner.
    • Answer and direct phone calls, providing information and taking messages as needed.
    • Communicate effectively with students, parents, staff, and community members.
    • Manage building calendar.
    • Assist with the development and distribution of school newsletters and announcements.
  • Financial Management
    • Create purchase orders.
    • Submit funds along with required documentation to the Business Office.
  • Technology
    • Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Sheets, Slides) proficiently.
    • Distribute student chrome books and maintain accurate records of inventory, including student name, serial number, and damage/repair status.
    • Maintain and troubleshoot office equipment, including printers, copiers, and scanners.
    • Assist with technology-related tasks, such as managing school websites and social media.

MINIMUM QUALIFICATIONS
  • High School diploma or equivalent required, Associates Degree preferred
  • Strong oral and written communication skills
  • Proficiency in Microsoft Office Suite and Google Workspace
  • A positive, service-oriented attitude and a passion for working with young people
  • Ability to communicate effectively and professionally and exercise tact and discretion in relationships with district personnel, parents, and general public
  • Ability to problem solve, prioritize work, meet deadlines, and demonstrate organizational skills
  • Willingness to keep abreast of changing technologies and to assume new responsibilities required by the introduction of new services
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Ability to develop and maintain record keeping systems and procedures

REPORTS TO: Middle School Principal

WORKDAY/WEEK: 40 Hours per week - GECS

STARTING DATE: Immediately

COMPENSATION: $13.00 - $15.00 per hour, commensurate with experience
