Position Overview
The Executive Assistant will provide high-level administrative support for the Central Technology Services' executive team. This role requires a proactive and organized individual who can manage multiple tasks with precision and handle sensitive information with discretion.

Key Responsibilities
- Administrative Support: Manage and coordinate calendars, schedule meetings, and arrange travel plans for senior management. Ensure that the CTS executive's time is used efficiently.
- Communication: Act as a liaison between senior management and internal/external stakeholders. Prepare and edit correspondence, communications, presentations, and other documents.
- Meeting Management: Organize and manage meetings, including preparing agendas, taking minutes, and following up on action items.
- Project Coordination: Assist in the planning and execution of projects, including tracking deadlines, deliverables, and coordinating with various departments.
- Data Management: Maintain and organize files, records, and databases. Ensure that all information is up-to-date and easily accessible.
- Event Planning: Plan and coordinate events, conferences, and seminars. Handle logistics, invitations, and follow-up communications. Ensure food and beverage requirements for meetings are met.
- Financial Tasks: Assist with budget preparation, expense reports, and invoice processing.
- Office Management: Order supplies, maintain equipment, and handle other office-related tasks.
- Serve as liaison with clients, suppliers, and other staff.
- Welcome visitors, answer phones, and direct all incoming calls to appropriate parties.
- Assist with preparation of presentation materials.

Qualifications
- High School Diploma, 2-4 years of college work preferred.
- Experience: Minimum of 3-5 years of office experience.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Detail-oriented with strong problem-solving skills.
