Position Overview
Full performance level in the secretarial occupation under direction requiring considerable knowledge of clerical and administrative procedures in order to provide principal secretarial support and perform a variety of administrative tasks for a manager and the subordinate staff of the manager, or is assigned to County Administrator's Office, as outlined in rank 1 job duties. Performs the material and substantial duties of the classification more than 50% of the time.
Summary of Job Duties
Serves as the secretarial support position to a manager or may be assigned to the County Administrator's office, uses automated office systems to perform secretarial tasks (e.g., using word processing, spreadsheet, database management and other software, produces typed copy of routine and confidential correspondence reports, proofreads material for accuracy and completeness, corrects grammar, punctuation and spelling, maintains confidential files, maintains calendar, makes travel arrangements for supervisor, takes minutes of meetings, prepares payroll reports & timesheets, handles sensitive telephone calls, channels calls to appropriate parties for response, organizes conferences, coordinates acquisition & maintenance of office machines such as telephones &/or copier &/or telecopier and/or computers &/or typing equipment).
Performs administrative tasks (i.e., independently provides explanation, orally and in writing involving activities or assigned area and standard interpretation and/or information about assigned area's policies and procedures), composes routine correspondence & reports (e.g., researches & prepares fiscal, operational & personnel reports, gathers statistics and compiles in report form, monitors spending & maintains fiscal records), communicates principal's decisions, directives &/or assignments to appropriate staff.
Performs clerical tasks (e.g., receives, opens, logs, distributes incoming mail, answers phone & screens calls, greets & directs visitors, maintains inventory of general office supplies & orders as needed, maintains files & retrieves information, prepares routine forms, prepares records retention & disposal schedules & arranges record transfers).

Minimum Qualifications and Requirements
High School diploma or equivalent and two years of clerical/secretarial experience to include at least one year working with office software applications -OR- completion of Associate Degree major course work in Secretarial Science or related field and one year of clerical/secretarial experience to include working with office software applications -OR- alternative, equivalent evidence of the Minimum Class Requirements.
