Job Description
Position Summary:
Ovation Construction is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the President. The ideal candidate will play a critical role in ensuring the President's daily operations run smoothly, allowing them to focus on driving the company’s vision and growth. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple tasks in a dynamic environment.
Key Responsibilities:
Administrative Support:
- Manage the President's calendar, including scheduling meetings, appointments, and travel arrangements.
- Serve as the first point of contact for internal and external communications on behalf of the President.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
Meeting Coordination:
- Organize and coordinate meetings, including preparing agendas, taking minutes, and tracking follow-up actions.
- Liaise with internal teams and external stakeholders to ensure timely delivery of materials and information.
Project Assistance:
- Assist with tracking deadlines, milestones, and deliverables for company projects.
- Support the President in preparing reports and presentations for board meetings and client engagements.
Operational Efficiency:
- Maintain an organized system of digital and physical files for easy access and retrieval.
- Identify opportunities to streamline administrative processes and implement improvements.
Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost professionalism and discretion.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 3 years of experience in an executive assistant or similar role, preferably within the construction or related industry.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Exceptional organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- High level of professionalism and attention to detail.
