Job Type: Part-Time, Non-Exempt, Hourly

Work Week/ Hours: Monday thru Friday, 6 hours/day

Hourly Rate: $25.00

Location: Scottsdale, Arizona (on-site)

Lumifi is looking for a candidate to fill an Office Admin position supporting the Scottsdale, Arizona office. The Office Admin will manage activities contributing to the successful execution of Lumifi Headquarters Office and will be the first person guest meet when arriving at our office. This position requires a person with demonstrated office management expertise, superior professional demeanor, and the ability to learn and accomplish a wide variety of day-to-day responsibilities that ensure success. Key attributes include taking initiative, attention to detail as well as critical thinking to identify and prioritize actions to assist the office managers to be successful in achieving goals. Ability to work in a professional manner with a variety of teams supporting the organization is a must. The Office Administrator will sit at the front desk, where they are available to greet guests and welcome them to Lumifi.

Primary Duties
  • Organize and managing on-site lunches.
  • Greet and welcome employees, customers, and guests to the office, ensuring outside visitors sign into the office properly.
  • Managing and scheduling on-site meetings and action tracking for various groups and support teams.
  • Scheduling, arranging and hosting virtual meetings on Teams, and other platforms for the office.
  • Managing a wide range of management and administrative duties (calendars. correspondence) in support of the office.
  • Manage office calendars and schedules. Attend office meetings, prioritize action items, draft, and disseminate meeting minutes.
  • Oversee organization of office, stock and order office supplies and goods.
  • Serve as office courier, transporting, and picking up of office mail, supplies, and goods.
  • Prepare and submit building visitor access and badge requests, coordinating with IT and building management.
  • Manage the calendar of professional services at Lumifi external temporary residence.
  • Support other departments when needed.
  • Other duties as they may be assigned.
Qualifications
  • High School diploma or equivalent; and four plus years relevant experience
  • Excellent written and verbal communication skills
  • Must possess demonstrated professionalism, customer service focus, strong organizational and interpersonal skills.
  • Proficiency in the Microsoft Office suite (MS Word, MS PowerPoint, Teams, Outlook, and MS Excel) with particular emphasis on word processing, presentation, and spreadsheet applications.
  • Ability to plan and execute work independently.
  • Ability to drive and have reliable transportation during working hours.
Certificates, Licenses, Registrations:
  • Must have valid drivers license issued by the state in which they reside and proper automobile registration
  • Proof of insurance for personal automobile liability with limits no lower than the financial responsibility limits
