Responsibilities:
- Prequalification monitoring: Send preliminary prequalification to new subs wanting to be added to our bid list; hired subs are required to submit online formal prequalification enrollment for corporate review.
- Assist with Monthly Pay Application process. Gather information for payment application. Prepare the application for payment, contact subcontractors regarding invoices, and verify billing vs. actual work complete and materials stored.
- Work with Subcontractors to assist them with Textura and submitting their monthly payment applications as it relates to their sworn statement
- Contact subcontractors as necessary to obtain shop drawings, samples, and outstanding contract documents. Assist with maintaining current shop drawing and working drawing log.
- Distribute submittal packages to appropriate parties as directed by project management. Document all submissions electronically and/or by hard copy, as applicable.
- Obtain insurance certificates from subcontractors and follow-up on non-compliant or expired certificates.
- Resource for employees on company best practices, software and processes (example; CMiC, Textura, Assurance, contracts, etc).
- On-board and train new employees on project management software and procedures.
Requirements
- Associates degree or equivalent combination of education and experience
- 2+ years related construction or administration experience preferred
- Initiative and a proactive approach to work to support project teams at the highest level possible.
- Ability to communicate effectively and work productively with others.
- Ability to prioritize and manage multiple priorities and deadlines.
- Strong attention to detail and the ability to produce work that is accurate, complete, and error-free is required.
- Other success factors include reliability, positive attitude, professionalism, and an eagerness to learn.
- Ability to use or learn project management software. CMiC and Textura experience preferred.
- Proficient in the use of computers and word processing, spreadsheet, presentation, and email software.
