Responsibilities
- At direction of Project Management personnel, draft and issue purchasing documents to support contracts or purchases for approval.
- Transmit drafts and approved documents to project manager(s).
- Assist the department with minor contracts where required (Form Agreements or Existing Master Agreements).
- Coordinate with legal and insurance departments as required. Recognize where contract may be required outside of corporate policy.
- Recognize deficiencies in purchase requests from Project Managers and coordinate correction prior to issuance.
- Verify compliance of orders with Competitive Bidding, Purchasing, and other corporate policies.
- With direction, bid and evaluate minor purchase items or minor services.
- Provide results to project manager for approval.
- In coordination with project manager(s), support bidding for 'minor' works and small contractor bids.
- Identify vendors when appropriate and issue bids.
- Compile initial return quotation comparisons and submit to project manager(s).
- Maintain department vendor log.
- Responsible for updating contact information and capabilities.
- Coordinate with Senior Project & Contracts Planner and Resource Manager for evaluations of vendors.
- Recognize and report to Senior Project & Contracts Planner vendors experiencing repeated delays, cost over runs, or similar nonconformances for inclusion in vendor log, and for future use impact.
- Facilitate contract approval process in office or in SharePoint.
- Coordinate rejections or requests for information with project manager.
- Monitor outstanding purchase orders.
- Identify late-receipts of orders or orders open after promise date.
- Coordinate with project managers to seek correction or corrective action.
- Assist with set up of new vendors in Oracle and review incoming vendor set up requests for accuracy.
- Identify opportunities to avoid one-time-use vendors (credit card purchase, P-Card, assignment under contractor).
- Coordinate with plant purchasing and plant storeroom for expected delivery of items.
- Ensure purchase documents are written to allow for receipt and tracking of items after delivery.
- Coordinate with plant accounting and accounts payable for correction of invoicing issues and amend purchase documents appropriately to correct root cause of error.
- At direction of Senior Project & Contracts Planner, obtain budgetary bids or estimates for upcoming projects.
- At direction of Senior Project & Contracts Planner, perform other tasks as assigned to support procurement and planning activities for department projects.
- High School Diploma (Minimum), Associate's Degree in Business (Preferred)
- 5 Years in a Purchasing or Supply Chain Role
- 7 or More Years in a Manufacturing, Mining, or Industrial Environment
- Experience with an ERP System for purchasing and order entry, Oracle experience is a plus
- Proficiency with Microsoft Office, Excel proficiency desired
- Strong attention to detail
- Familiarity with Incoterms and Payment terms
- Minimal travel is required (15%/Year) for training or site coordination
